The Associate Event Coordinator role is a key position within The Collective, BCD Meetings & Events' creative agency arm devoted to producing high-end, complex, and global events. This position invites candidates to join a fast-paced, hands-on team where they will support Event Managers and Operations Managers through all stages of event planning and delivery. Responsibilities extend across a variety of event types including meetings, incentives, conferences, trade shows, and special events. The role offers a unique opportunity to develop a broad skill set encompassing planning, onsite execution, administration, and financial coordination. Associates will play an essential role in maintaining project timelines, managing budgets, and facilitating clear communication among stakeholders to ensure seamless and memorable attendee experiences. The role is ideal for individuals who thrive in dynamic environments, excel at multitasking, and enjoy collaborating across teams. This position is fully virtual with an expectation of up to 15% travel annually. Compensation ranges between $55,000 and $65,000 annually in relevant US jurisdictions, with actual pay dependent on factors such as experience, skills, and location. Job Requirements
- bachelor’s degree preferred
- 2+ years of relevant experience in event operations or related fields
- strong organizational and multitasking skills
- proficiency with Microsoft Excel and event technology software
- excellent communication and collaborative abilities
- ability to work virtually and manage up to 15% travel annually
Job Qualifications
- 2+ years of experience in event operations, hotel operations, or DMC environments
- a bachelor’s degree, ideally in hospitality or event planning
- experience supporting onsite operations in different event roles
- working knowledge of Cvent, registration tools, or web/app event technology processes
- confidence with supplier sourcing, contract support, and client-facing meeting coordination
Job Duties
- supporting event operations across meetings, incentives, conferences, trade shows, and special events while keeping timelines, documentation, and details organized
- working across teams and with clients in a professional, collaborative way, with clear communication and strong follow-through
- managing multiple priorities in a fast-paced environment and staying flexible when plans shift quickly

- handling administrative and financial tasks like budget tracking, invoice coordination, expense reconciliation, vendor follow-ups, and final billing support
