The Associate Director, Editorial & Operations is a vital role within SFBU’s Communications & Marketing team, situated in Fremont, CA. This full-time, exempt position offers the possibility of hybrid work arrangements, aligning with the modern needs of work-life balance. Reporting directly to the Director of Communications & Marketing, the Associate Director blends editorial mastery with operational leadership, ensuring SFBU’s messaging is coherent, high quality, and strategically aligned with the university’s mission and values. The position involves managing the institution-wide editorial calendar, overseeing content governance, and streamlining intake and workflow systems. It also plays a key role in internal and executive communications, effectively supporting senior leadership and enhancing internal storytelling to foster a transparent, connected university culture.

The Associate Director directs the weekly intake and prioritization meetings, manages team workflows and deadlines, and coordinates cross-functional content planning with various departments such as Enrollment, Advancement, Academics, and Student Affairs. This role is integral to maintaining visibility into all projects to guarantee timely, on-brand, and high-quality execution. Collaboration with both internal and external resources, including agency deliverables, ensures optimal teamwork and efficiency.

In addition to operational responsibilities, this role is heavily engaged in measurement, analytics, and continuous improvement efforts. The Associate Director partners with Digital & Analytics teams to assess content performance and audience engagement metrics, using data-driven insights to guide content planning and message refinement. Maintaining communications playbooks, templates, and process documentation supports the scale, consistency, and effectiveness of the Communications team’s output. Ideal candidates will possess at least six years of experience in editorial leadership, communications strategy, or operations management, complemented with a Bachelor’s degree in communications or a related field. Exceptional writing, editing, content development skills, and the ability to manage complex cross-functional communications initiatives are essential. Experience with internal and executive communications and a commitment to equity and accessibility in storytelling are highly valued. Preference is given to candidates with experience in higher education or mission-driven organizations and familiarity with content management systems, project management platforms, and digital analytics tools.

Job Duties

  • Own and manage the institution-wide editorial calendar
  • Edit and quality-assure major content across digital, print, and executive platforms
  • Provide editorial oversight and coaching to content creators
  • Partner with the Director to advance editorial vision and messaging
  • Lead internal communications including Bayhawk Bulletin and intranet updates
  • Draft and refine speeches, memos, and executive communications
  • Manage weekly intake and prioritization meetings and team workflows
  • Coordinate cross-functional content planning with departments
  • Support management of agency deliverables and collaboration
  • Collaborate with Digital & Analytics to assess and utilize content performance metrics
  • Maintain and evolve communications playbooks and templates
  • Champion a culture of operational excellence and continuous improvement
