The role of the Assistant Events Manager at Blackberry is pivotal in ensuring the flawless execution of small to medium-sized group and event functions. This includes managing special occasions such as holidays, internal events, corporate retreats, family gatherings, private group events, and other unique functions designed to enhance the guest experience. The Assistant Events Manager collaborates closely with the Event Managers to support larger events and ensure seamless coordination from planning through to billing.

This role demands a highly organized, detail-oriented individual with a true hospitality mindset. The Assistant Events Manager will be responsible for overseeing the logistics of programs including room bookings, activities, meals, and meetings, while maintaining clear communication with guests, vendors, internal teams, and planners. They will also manage billing and provide post-event reporting, ensuring that all aspects adhere to budgetary guidelines and revenue goals. Assistant Events Managers play a key role in holiday programming, managing 3-6 major holidays per year, and may offer support for internal events designed for leisure guests.

Beyond managing events, this position requires one to be adaptable and flexible, with availability to work weekends, holidays, and nights as necessary to support onsite programs. The role also involves hands-on management of physical aspects such as event décor and furniture arrangement, necessitating some physical activity on property along with extensive computer and phone work. Proficiency in software applications like Microsoft Windows, Word, Excel, PowerPoint, Outlook, and familiarity with Opera and ResortSuites are preferred to efficiently handle administrative and operational tasks.

The Assistant Events Manager does not carry supervisory responsibilities; however, this role requires excellent communication skills to liaise effectively across departments and with guests. Candidates should bring experience in hospitality and event coordination, a college degree or equivalent experience is preferred. The position also requires strong mathematical skills for budgeting and reporting, sound reasoning abilities for decision-making, and an ability to manage multiple projects simultaneously in a fast-paced environment.

Job Requirements

  • College degree or equivalent experience in event coordination preferred
  • Hospitality industry experience is required
  • Must be proficient in Microsoft Windows Word Excel PowerPoint Outlook
  • Experience with Opera and ResortSuites preferred
  • Must have excellent verbal and written communication skills
  • Knowledge of basic accounting principles required for reporting statistics and budgets
  • Must be able to make sound business decisions in regards to sales and customer requests
  • Must be able to accomplish tasks in a timely manner and manage multiple projects
  • Must be able to sit for long periods of time and work extensively on the computer and phone while multitasking
  • Must be able to safely operate a company vehicle or golf cart
  • Availability to work weekends holidays and nights as necessary
  • Must comply with all company policies and procedures

Job Qualifications

Job Duties

  • Manages internal contracted groups and internal events small to medium in size
  • Supports Event Managers for larger programs
  • Works weekends holidays and nights throughout the year as necessary to assist with onsite programs
  • Manages all program logistics through the planning process execution and billing including room blocks activities meals meetings special needs tracking meeting dining room reservations billing and post-event reporting
  • Acts as a primary contact for guests vendors group planners and internal department heads both in planning and on-site
  • Creates resumes rooming lists transportation manifests and activity lists
  • Communicates program requirements and logistics to all operational staff
  • Creates and sends final invoices for group billing and provides backups for disputed items
  • Executes holidays and small internal events within the guidelines of the budget
  • Crafts experiences for groups that will create a memorable program and work towards revenue goals
  • Creates and maintains various reports for groups and internal events holidays to track profitability expenses and revenue
