This department actively collaborates with different university units to identify and steward donors and partners who contribute to the university’s ongoing growth and long-term endowment.
The Assistant Director, Special Events, is an integral member of NYU’s Advancement Events team focused on elevating donor relations and engagement through high-caliber events. This position is responsible for overseeing the planning, coordination, and execution of over 30 major development and stewardship events annually held on campus, across New York City, nationally, and internationally. Working closely with the Director of Advancement Events and other UDAR colleagues, the Assistant Director helps develop a strategic events engagement plan that aligns with fundraising priorities and enhances donor experiences. This role requires managing complex event logistics including budgeting, vendor engagement, marketing, and volunteer coordination to deliver seamless and impactful events that support NYU’s philanthropic goals. The position involves considerable travel domestically and abroad to ensure successful event implementation. NYU supports work-life balance with eligibility for a hybrid work arrangement, allowing flexibility between remote and onsite work. Salary for this role ranges from $75,000 to $95,000 annually, reflecting the role’s responsibility, experience, and qualifications. Job Requirements
- Bachelor's degree
- 5+ years event management experience or equivalent combination of education and experience
- Proficient with Microsoft Office and Google Software Suite including Excel/Sheets
- Excellent verbal and written communication skills
- Strong organization and project management abilities
- Ability to develop and manage relationships with vendors
- Ability to interact professionally with students, staff, faculty, high net worth individuals, and senior university administrators
- Ability to travel as needed
- Preferred experience in academic, non-profit, or development environment
- Experience with budget forecasting and planning preferred
- Knowledge of Blackbaud CRM preferred
- Ability to prioritize and execute multiple tasks in a fast-paced environment
- Strong logistics orientation
Job Qualifications
- Bachelor's degree
- 5+ years event management experience or equivalent combination of education and experience
- Experience in academic, non-profit, and/or development environment preferred
- Proficiency with Microsoft Office and Google Suite, including Excel/Sheets
- Strong verbal and written communication skills including research, editing, and proofreading
- Excellent organization and project management skills
- Ability to professionally interact with diverse stakeholders including high net worth individuals and university leadership
- Ability to travel domestically and internationally
- Knowledge of Blackbaud CRM preferred
- Ability to multitask and work effectively in fast-paced settings
- Strong logistical and detail orientation
Job Duties
- Plan and execute 30+ high-level development and stewardship events on and off campus
- Collaborate with UDAR colleagues to build and implement event engagement strategies
- Manage event budgets including forecasting and financial reconciliation
- Coordinate logistics such as venue selection, catering, transportation, and accommodations
- Develop marketing materials and communications for events
- Cultivate and maintain relationships with internal and external vendors
- Provide support for additional team events and activities as required
