As an Assistant Community Manager, you will play a critical role in supporting the Community Manager by overseeing both financial and operational aspects of the community. Responsibilities encompass completing daily financial transactions such as rent collection, fee posting, bank deposit preparation, and invoice processing. You will also manage resident accounts, handle delinquencies, and enforce lease agreements to maximize revenue. Your role extends to legal processes including eviction procedures, requiring adherence to established notice requirements and court appearances where necessary.

Operationally, you are responsible for ensuring the property maintains high standards of maintenance and readiness by coordinating with maintenance staff. Job Requirements

  • High school education or equivalent
  • Two or more years of experience in property management or related industry preferred
  • Experience with property management software preferred
  • Intermediate Microsoft Office skills
  • Knowledge of basic accounting practices
  • Excellent communication skills
  • Ability to work indoors and outdoors
  • Ability to use senses to inspect building and detect alarms
  • Physical ability to perform inspections including stair climbing
  • Ability to lift up to 25 pounds
  • Availability 24 hours for emergencies
  • Ability to work overtime and transfer properties as needed
  • Flexible schedule including weekends and holidays

Job Qualifications

  • High school education or equivalent from accredited institution
  • Two or more years prior experience in property management or in a related industry preferred
  • Experience with property management software preferred
  • Entrada experience a plus
  • Intermediate knowledge of Microsoft Office
  • Knowledge of basic accounting practices
  • Excellent verbal and written communication skills
  • Ability to use olfactory, auditory, and visual senses to inspect building and detect emergency alarms
  • Ability to perform physical inspections of the property which may include climbing up and down stairs or accessing restrictive openings
  • Ability to lift up to 25lbs
  • Ability to work a flexible schedule including weekends and holidays

Job Duties

  • Completes the daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payables
  • Reviews resident files and accounting records, communicates with residents regarding outstanding balances, implements procedures for collecting on delinquencies, and enforces the lease to maximize revenue
  • Adheres to Hines's established procedures related to evictions by following proper notice requirements, evicting residents, and representing the community as required in court hearings and eviction proceedings
  • Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased
  • Processes resident move-outs by reviewing lease terms and notice requirements
  • Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issues
  • Acts as the on-site supervisor in the absence of the community manager by organizing and delegating daily work, and coordinating maintenance and make-ready tasks with the maintenance supervisor
  • Assists in managing the client/owner relationship by meeting with the owners, conducting community tours, providing updates and information about the community's performance, and responding to owner requests as needed
