The Annual Giving Coordinator position at Foodlink is a full-time, hourly, non-exempt role within the Development & Marketing department, reporting directly to the Director of Donor Relations. This operational role is essential to advancing Foodlink’s fundraising efforts by managing the annual fund’s execution and ensuring accurate gift processing, strong donor stewardship, and seamless fundraising operations. The Annual Giving Coordinator performs a critical function by blending annual fund coordination, donor stewardship, and development operations into one integrated position, supporting donors throughout the entire giving lifecycle—from the initial gift receipt to meaningful acknowledgment and ongoing engagement.
The role involves a high degree of detail orientation and operational focus, working under strategic guidance from department leadership. Responsibilities include supporting the execution of direct mail, email, and digital annual fund appeals, drafting and coordinating donor-centered communications, assisting with special fundraising events like Giving Days and year-end campaigns, and managing donor segmentation and campaign performance tracking. The Annual Giving Coordinator also plays an integral part in donor stewardship activities, coordinating thank-you letters, impact communications, recognition lists, and donor inquiries, as well as supporting donor events.
In addition, this position handles gift processing and development operations by managing all forms of donations and ensuring compliance with IRS and organizational policies. The Coordinator maintains donor records within the CRM system and supports audit and data integrity standards while serving as a resource for digital fundraising platforms. The role requires collaboration across multiple departments, including Marketing, Operations, and Finance, ensuring a cohesive approach to donor engagement and fundraising efforts.
Foodlink offers this position with a salary ranging from $19.91 to $22.50 per hour, commensurate with experience. Job Requirements
- Bachelor’s degree or equivalent experience
- 1-3 years of nonprofit development or fundraising experience
- Experience with gift processing and donor databases such as FundraiseUp, Raiser's Edge, or DonorPerfect
- High attention to detail with a deadline-driven, organized work style
- Ability to manage multiple priorities across fundraising functions
- Strong written and verbal communication skills for donor-facing materials
- Proficiency with Microsoft Office and email marketing platforms such as Constant Contact or Mailchimp
- Comfort working collaboratively in a fast-paced, mission-driven environment
- Flexibility to support occasional evening or weekend events

Job Duties
- Support execution of direct mail, email, and digital annual fund appeals
- Draft and coordinate annual fund direct mail pieces including appeal letters and donor-centered messaging
- Write and coordinate content for the annual donor newsletter and other communications
- Assist with Giving Days, year-end fundraising, and recurring giving efforts
- Pull lists, segment donors, and track campaign performance in CRM
- Maintain annual fund calendars, campaign timelines, and internal deadlines
- Generate impact reports and funding requests for donors under $5,000
- Support mid-level and leadership annual giving programs
- Coordinate thank-you letters, emails, impact communications, and recognition lists
- Support donor recognition efforts including annual reports and leadership giving societies
- Respond to donor inquiries related to gifts and acknowledgments
- Assist with preparation and follow-up for donor meetings and engagement activities
- Support donor stewardship events by managing guest lists, RSVP tracking, materials, and follow-up
- Manage all gift processing and data entry including online, mail, event, workplace giving, stock, and matching gifts
- Support digital fundraising tactics and serve as lead expert in digital fundraising platforms
- Ensure accuracy, coding, and compliance with IRS and organizational policies
- Generate and distribute tax receipts, acknowledgments, and pledge reminders
- Maintain donor records, pledges, and soft credits within the CRM
- Support audits, compliance documentation, and data integrity standards
- Document donor interactions and outreach activity in CRM
- Collaborate closely with Marketing, Operations and Finance departments
- Support events, follow-up, and stewardship coordination
- Complete additional duties as assigned by the Director of Donor Relations and the Chief Development Officer
