The Admissions Coordinator position at Guidehouse offers a vital role within a healthcare setting, responsible for managing both inpatient and outpatient admissions efficiently and compassionately. This full-time or part-time role, available across various shifts including days, evenings, and nights, requires flexibility and dedication to meet the demands of hospital census and business needs. The Admissions Coordinator serves as a critical liaison between patients, families, visitors, hospital administration, medical staff, and other departments, ensuring seamless coordination of admissions and compliance with hospital policies.

In this role, the Admissions Coordinator performs registration duties by entering patient information accurately on admitting forms, explaining hospital regulations to patients and their families, and possibly assigning rooms based on the patient's condition and accommodation availability. They prepare identification bracelets and assist with insurance matters, including obtaining necessary authorizations, managing documentation, and handling billing aspects such as pre-certification and deposit collections. The ideal candidate will be detail-oriented, possess strong customer service skills, and demonstrate a working knowledge of federal, state, and local insurance regulations. Utilizing multiple computer systems, the coordinator ensures data integrity and timely completion of documentation associated with admissions.

Job Requirements

  • High school diploma or equivalent
  • 0-2 years of prior relevant experience
  • Ability to type a minimum of 35 WPM
  • Familiarity with medical terminology
  • 1 year of experience with patient registration
  • 1 year of experience working with medical insurances

Job Duties

  • Obtain complete and accurate demographic and financial information from patients and other sources
  • Obtain required signatures on legal consents and insurance forms
  • Perform pre-certification, credit referral or deposit collection
  • Enter data into computer systems and document incomplete admissions thoroughly
  • Notify patients, family members, physicians, and supervisors of insurance coverage issues
  • Review physicians orders for completeness
  • Complete Medicare compliance and obtain ABN if necessary
  • Maintain knowledge of federal, state, and local insurance laws and regulations
  • Utilize multiple computer systems effectively
  • Maintain positive customer service and refer unresolved issues appropriately
  • Answer telephone calls following pre-established scripts
  • Complete all shift duties in a timely and accurate manner
  • Comply with all safety regulations, policies, and procedures
