The role of the Administrative Support Colleague (ASC) at Bloomingdale's is pivotal in supporting the General Manager (GM) and enhancing the overall customer experience. On the administrative front, the ASC supports key functions such as developing and updating executive schedules, coordinating travel and expense reports, and managing various meetings including conference calls and Skype sessions. The role demands a high level of organizational skill to maintain and analyze store reports, support compliance strategies, and oversee cash office functions. Furthermore, the ASC plays an instrumental role in the People Strategy by assisting with recruitment, managing payroll processes, and supporting professional development reviews. Job Duties
- Serve as gatekeeper for GM schedule and point person for escalated customer/employee issues
- Provide an exceptional customer experience by ensuring both in-store and online customers are prioritized
- Service customers visiting the Executive Office/Store Manager office for assistance
- Respond and address customer concerns promptly via various channels
- Participate in the production of the store daily communication newsletter
- Produce required GM correspondence
- Floor presence to support store as needed
- Assist with development and update of executive schedules
- Execute travel planning and expense report coordination for GM
- Manage all conference calls, Skype meetings, and other gatherings
- Maintain awareness of all business plans and store initiatives
- Develop and maintain store reports and analyze for improvements
- Execute store compliance strategy
- Manage cash office functions
- Assist store management in sourcing applicants through online resources and referrals
- Ensure payroll functions are maintained and processed
- Assist in Professional Development Review process and documentation
- Oversee candidate management including recruiting and onboarding
- Retain documents via Imaging Documenting System
- Plan and execute recognition activities and communication meetings
- Drive colleague participation in Culture Pulse Survey
- Manage schedule edits for BSMs during transitions
