This position plays a key role in supporting various office functions, particularly those related to fax processing, mail merge processing, and effective communication and follow-up with clients and partners. This full-time role requires an individual comfortable with multitasking and performing clerical duties that expedite verification processes and maintain organization. Key responsibilities include data entry, verifying member eligibility, determining member benefit coverage, managing client relationships, and maintaining a welcoming reception area. The ideal candidate will also manage communications professionally by answering calls, relaying messages, and responding to inquiries with accuracy and courtesy. In addition, the Administrative Assistant will coordinate meeting preparations, ensuring rooms are appropriately scheduled and set up for a variety of functions.

A unique aspect of this position is handling specific OHI-related tasks, including monitoring shared drives for casualty documents, printing and sorting faxes, ensuring that all fax transmissions are successful, and promptly communicating any issues requiring follow-up. Attention to detail is critical in these tasks to maintain accuracy and ensure legal and client communications flow seamlessly. This role also involves preparing correspondence and maintaining comprehensive documentation within appropriate modules to meet compliance standards.

Job Duties

  • Provide data entry
  • verify eligibility of members
  • perform various clerical tasks to expedite the verification process
  • determine member benefit coverage
  • greet and check-in visitors, applicants, vendors, and clients in a professional manner
  • answer calls and relay messages or answer information queries
  • provide general administrative and clerical support
  • maintain the reception area
  • manage client relationships
  • schedule and prepare room for meetings
  • answer phone calls and if knowledgeable of subject matter, handle appropriately
  • prepare correspondences
  • review the shared drive to locate casualty documents pending fax transmission
  • print documents from the fax pending folder
  • sort faxes by law firm and fax number
  • fax all required documents to the appropriate recipients
  • print documents from the mail merge in review folder
  • fax non-member letters to the appropriate recipients
  • immediately notify the casualty team of any incorrect fax numbers or unsuccessful fax transmissions
  • communicate any issues requiring follow-up with law firms to the casualty lead so corrective action can be taken promptly
  • ensure all fax-related activities are completed accurately and documented in the appropriate module
