Levy is currently hiring for a position that provides essential clerical functions and administrative support within food service programs. This role is vital in ensuring the smooth operation of food service facilities through efficient record keeping, employee support, financial reconciliation, and vendor management. The position requires strong organizational skills, experience with administrative tasks, and the ability to collaborate effectively with management, staff, and external partners.
The successful candidate will be responsible for answering telephones and directing inquiries professionally, maintaining confidential personnel files, assisting management in preparing employment and labor relations documents including disciplinary notices, and managing staffing needs such as filling shifts when employees call out. They will handle detailed financial tasks like entering weekly cash sales, conducting bank deposit reconciliation, processing vendor invoices, and preparing monthly financial and state reimbursement reports. Effective communication and good working relationships with coworkers, school personnel, administrators, and parents are crucial to this role.

- Previous clerical or administrative experience preferred
- Ability to maintain confidentiality

Job Duties
- Answer telephones and direct inquiries in a professional and client centric manner
- Maintain confidential personnel files
- Assist management staff in preparing confidential employment and labor relations documents including but not limited to proposed disciplinary notices
- Assist with staffing including finding staff when employees call out on short notice
- Work effectively and maintain good working relationships with co-workers school personnel administrators student parents and Supervisor
- Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable
- Enter weekly cash sales and meal counts using computer
- Perform daily bank deposit reconciliation
- Process vendor invoices for payment using computer making sure addition is correct and checking item prices against bid specifications making sure there is no discrepancy in pricing
- Perform monthly vendor statement reconciliation
- Prepare monthly state claim form for reimbursement
- Assist in preparation of end of month financial reports
- Attend in-service and or safety meetings as required
- Maintain clean and safe work environment
- Performs other duties as assigned
