The role of the Administrative Assistant/Account Executive at Art Craft Display is pivotal to the company's success in orchestrating seamless events. This full-time position, scheduled Monday through Friday from 8 am to 5 pm, offers a salary commensurate with experience and expertise, reflecting the role's importance and responsibilities. The Administrative Assistant/Account Executive functions not only as a crucial clerical and administrative support member but also as a sales representative who develops competitive quotes and manages key communications with clients and internal teams. This dual capacity requires a dynamic professional who excels in organization, communication, and sales acumen.

In this position, the individual supports all phases of event management, beginning with event orders and managing exhibitor kits, and extends through post-event processing. Responsibilities include crafting detailed event quotes based on client specifications and company pricing guidelines, servicing contracts, overseeing timely payments, and coordinating the logistical aspects of event setup, tear down, and delivery. The role also serves as the frontline customer service representative, acting as a receptionist and handling routine clerical duties such as answering phones, welcoming visitors, and maintaining diligent record-keeping. Proficiency with event management software and Microsoft Office Suite is essential to maintain event files, customer quotes, and billing information.

The successful candidate will be proactive, detail-oriented, and capable of multitasking in a fast-paced environment. As part of their duties, they will engage with show organizers, facility managers, and customers in a professional manner, ensuring clear and courteous communications. This role demands a strong understanding of scheduling, time management, and collaboration, alongside the flexibility to adapt to additional tasks beyond the primary job description. Job Duties

  • Develops and maintains office forms and procedures when needed and assists with administrative tasks
  • Develops quotes for clients based on current pricing and discount protocols as established by the Board of Directors and/or management team
  • Develops quotes based on the client's needs, suggests areas of efficiency and improvement, and strives to increase event sales
  • Ensures contracts are signed and payments are made in a timely fashion
  • Operates the Service Desk at events, when needed, and successfully delivers a positive customer experience
  • Answers telephone calls and directs the calls accordingly
  • Receives the public and answers questions, in person and by telephone, responds to inquiries from employees and the public and, when necessary, refers to the appropriate person, administrator or department
  • Operates office machines and assists when there is a malfunction
  • Notifies Office Manager when a service call is needed on equipment only after measures have been made to correct the problem
  • Attends staff meetings as required
