The Yale Center for British Art (YCBA) is a renowned museum located at 1080 Chapel Street in New Haven, Connecticut, affiliated with Yale University. The Special Events and Advancement Manager role at YCBA is a full-time, on-site position with a salary range from $65,000 to $101,000. Reporting directly to the Director of Advancement, this position is pivotal in managing all aspects of event planning and execution, both internal and external, to support the museum's mission. The manager will serve as the primary liaison for event operations, ensuring seamless coordination across various departments and with external clients. This role requires a strategic thinker who can design and oversee events ranging from intimate VIP lunches to large-scale receptions, maintaining high standards of service and professionalism throughout.
Central to this role is the ability to develop event strategies that integrate with the museum's educational objectives and fundraising initiatives. Responsibilities include managing event budgets, negotiating with vendors, coordinating space and technical needs, and overseeing staff and volunteers involved in event execution. The manager will also play a critical role in donor engagement, preparing briefing materials and correspondence to enhance fundraising efforts. Strong organizational skills, attention to detail, and the capacity to work under pressure with sound judgment are essential for success in this position. Given the museum's landmark status and priceless collection, the role demands sensitivity to the environment and an adherence to strict safety and operational protocols.

Job Requirements
- Bachelor’s degree in a related field
- Three years of related experience or an equivalent combination of education and experience
- Proven ability to conceptualize large events
- Exceptional verbal and written communication skills
- Strong interpersonal skills

- Familiarity with donor databases like Raiser’s Edge
- Customer-facing experience in a museum or cultural organization preferred
- Knowledge of art history preferred
- Willingness to acquire knowledge of museum collections and programs
Job Duties
- Design, manage, and oversee complex special events that create an optimal experience for clients and attendees
- Develop strategies to integrate events into the overall educational work of the museum
- Ensure that events meet budgetary guidelines by soliciting proposals from caterers/vendors and negotiating costs
- Assess needs for space, facilities, and technical services and coordinate with necessary vendors and Yale departments
- Ensure smooth functioning of events from inception to completion with immediate decision making
- Negotiate contracts/letters of agreement for all events
- Develop budgets, provide oversight of expenditures, and monitor and update program budgets as plans develop
- Oversee the development of best practices for planning and executing events
- Collect and provide content for all event-related invitations and printed programs
- Serve as the institution-wide resource/consultant for event planning
- Represent the YCBA with confidentiality, integrity, and professionalism
- Maintain the physical safety of the museum and its contents
- Design donor engagement events and research fundraising opportunities
- Facilitate weekly logistics meeting with all relevant departments
- Oversee, instruct, and coordinate activities of support staff and student workers
- Perform other duties as assigned
