The Receptionist ensures a welcoming and professional environment by greeting guests, managing communications, scheduling meetings, and coordinating office logistics. As part of the Workplace Experience function, the Receptionist plays a vital role in maintaining smooth operations and fostering a positive workplace atmosphere. Responsibilities include answering and directing calls, issuing visitor passes, preparing meeting rooms, arranging hospitality services, and coordinating with building services such as housekeeping. The candidate must demonstrate strong organizational skills, a keen attention to detail, and the ability to follow established protocols efficiently.

Working hours are typically Monday to Friday, from 7:00 AM to 4:00 PM, with occasional flexibility based on business needs. The position requires candidates to undergo an in-depth background check, reflecting the sensitive nature of the financial sector client being supported. Job Duties

  • Receive and direct incoming calls to appropriate personnel and voicemail
  • Greet clients, applicants, and visitors upon arrival
  • Issue visitor passes and parking validations and follow security protocols and escort scheduled workplace visitors to their temporary office and take them on a tour of the office to point out the amenities
  • Schedule and prepare meeting and conference rooms including room setup, placing catering orders, and securing technological equipment
  • Request building and housekeeping services as needed
  • Perform general clerical duties including distributing office faxes and packages and ordering office supplies
  • Track incoming and outgoing packages, mail, and freight
  • Arrange messenger service as needed
  • Arrange hospitality services for guests such as transportation, tickets, reservations
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion
  • Deliver own output by following defined procedures and processes under close supervision and guidance
