Job Duties

  • Manage incoming communications, including receiving and directing calls to appropriate personnel and voicemail
  • warmly greet clients, applicants, and visitors upon arrival, issuing visitor passes and parking validations while strictly adhering to security protocols
  • coordinate and prepare meeting and conference rooms, including room setup, arranging catering orders, and securing necessary technological equipment
  • request building and housekeeping services as needed to maintain a pristine and functional environment
  • perform general clerical duties, such as distributing office faxes, processing packages, and managing office supply inventory and ordering
  • track incoming and outgoing packages, mail, and freight, and arrange messenger services when required
  • arrange hospitality services for guests, including transportation, tickets, and reservations
  • execute work orders, ensure meeting setups are complete, and guide high-level visitors to their designated meeting rooms
  • operate gate access if necessary and distribute badges in the absence of security personnel
  • utilize established procedures to resolve routine problems, demonstrating sound judgment within defined parameters
