As the Workplace Experience Coordinator, you will manage multifaceted responsibilities including the execution of the company's catering program, providing crucial event support, maintaining a welcoming visitor experience, and sustaining the physical environment of the workplace. You will play a pivotal role in organizing key internal events, such as the popular Summer Event Series and other hallmark company gatherings like Bolton Night and Holiday Stroll. Job Requirements
- Two or more years of experience in office coordination, administrative, or hospitality roles
- Proven ability to manage multiple concurrent workstreams
- Experience managing vendor relationships and processing invoices or expense reports
- Strong organizational skills with proactive problem-solving
- Professional interpersonal communication skills
- Ability to work in a fast-paced environment
- Proficiency in Microsoft Office Suite and expense management tools
- Discretion with confidential information
- Must reside in an authorized hiring state at the time of employment
Job Qualifications
- Two or more years of experience in office coordination, administrative, or hospitality roles
- Proven ability to manage multiple concurrent workstreams with keen attention to detail
- Experience in managing vendor relationships and processing invoices or expense reports
- Strong organizational and proactive problem-solving skills
- Excellent interpersonal skills with the ability to represent the company professionally to external guests
- Ability to work efficiently in a fast-paced environment with shifting priorities
- Proficiency in Microsoft Office Suite and expense management software such as Concur
- Demonstrated discretion in handling confidential information
- Preferred experience supporting or coordinating company events including logistics and on-site execution
- Background in catering coordination, food and beverage, or vendor management
- Familiarity with action sports, outdoor industries, or lifestyle brands
- Experience collaborating with cross-functional teams including HR, Marketing, or Executive leadership
Job Duties
- Manage recurring catering programs including planning, coordination, execution, and budget adherence
- Process and track vendor invoices, ensuring timely payment and escalation of delays
- Evaluate and onboard new catering vendors with documented backup options
- Plan, coordinate, and own the Summer Event Series from start to finish including logistics and budget management
- Support major company-wide events with planning, logistics, setup, and breakdown
- Serve as the first point of contact for guests, candidates, and visitors maintaining a professional and welcoming front desk presence
- Maintain office common areas including lobby, kitchen, and supply stock to ensure a clean and functional workspace
- Provide timely administrative support for recurring programs, including gear management and fan mail wall updates
