The Workplace Coordinator position at Sunday Robotics is a key role focused on overseeing daily operations at their Redwood City office. This role offers an exciting opportunity for individuals passionate about supporting people and enhancing workplace experiences to contribute meaningfully to the company’s mission. Working onsite from Monday through Friday starting at 9 am, the Workplace Coordinator will collaborate closely with the Workplace Manager to ensure the office environment remains highly effective, organized, clean, and safe.

The role encompasses a variety of responsibilities including managing vendor relationships, facilitating office moves and event setups, supporting HR and IT teams with onboarding and equipment installations, and maintaining the overall office environment. The Workplace Coordinator serves as the first point of contact for colleagues and vendors, ensuring timely responses to service requests and repairs, and helping to cultivate a positive workplace culture through participation in office events and initiatives.

This position is ideal for self-motivated, energetic individuals who thrive in fast-paced environments and possess excellent communication skills. Physical stamina is essential as the role involves extended periods of standing, bending, reaching, pushing, pulling, and lifting objects over 25 pounds without assistance. Job Requirements

  • 2-4 years of experience in office administration or a facilities role
  • Ability to use basic hand tools
  • Proficiency with Slack and Google Workspace
  • Excellent written and verbal communication skills
  • Self-motivated and energetic
  • Ability to stand, reach, bend, stoop, push, pull, and lift over 25 lbs without assistance for extended periods
  • Positive attitude

Job Qualifications

  • 2-4 years of experience in office administration or a facilities role

  • Excellent written and verbal communication skills
  • Ability to use basic hand tools
  • Proficiency with Slack and Google Workspace
  • Experience with Notion is a plus
  • Self-motivated, energetic, and enthusiastic about planning activities and projects
  • Self-directed with the ability to prioritize tasks and deliver results in a fast-paced environment

Job Duties

  • Lead daily workplace operations and maintain a clean, organized, and safe environment
  • Serve as the first point of contact for colleagues and vendors including security, janitorial, catering, and pantry services
  • Provide support to HR and IT teams with onboarding, preboarding, and equipment desk setup
  • Assemble furniture and set up or break down conference rooms and event spaces for meetings and internal events
  • Support office moves, additions, and changes including relocating desks, chairs, equipment, and supplies
  • Conduct regular maintenance walkthroughs and assist with scheduling repairs
  • Submit service requests to property management and vendors and follow up to ensure timely resolution
  • Assist with vendor management to ensure the office is well-supplied and operates efficiently
  • Collaborate on office events and initiatives such as happy hours and seasonal gatherings to foster a positive workplace culture
  • Collaborate with Fleet Ops on all inbound and outbound mail, packages, and deliveries from various carriers
  • Partner with and support multiple departments including HR, IT, and the Executive Office
  • Perform ad hoc projects and tasks as needed
