The role of Workplace Concierge and Experience Coordinator at Index Exchange is a full-time, in-office position based in New York. The base salary range for this role is between $58,000 to $70,000 USD annually, with total compensation varying based on knowledge, skills, and experience. This position is central to maintaining the smooth, efficient, and high-standard operations of the New York office environment. The Workplace Concierge and Experience Coordinator serves as the primary point of contact for all those entering the office—from employees to visitors and candidates—ensuring a welcoming and seamless experience with a strong service mindset. The role demands adaptability, a keen attention to detail, and excellent problem-solving skills to manage evolving workplace needs and foster a positive office culture.

The successful candidate will coordinate and support various office responsibilities, including managing visitor experiences, organizing office lunch programs, maintaining café and tea points, and partnering with the Community team to support onsite events and employee engagement initiatives. Additionally, the Workplace Concierge collaborates with departments such as IT and People Operations to ensure smooth onboarding and offboarding processes, including workstation setup and equipment management. The role also includes coordinating vendor relationships, overseeing daily office operations, managing office supplies and deliveries, maintaining cleanliness and organization in common areas, and supporting office safety and compliance activities.

This position requires a proactive approach to monitoring workplace operations, resolving issues, and supporting meetings and corporate events, including catering and visitor management. The Workplace Concierge plays a vital administrative role by managing global meeting agendas, coordinating team fun activities, tracking employee milestones, and facilitating recognition programs. Candidates will be expected to have strong communication skills, proficiency in tools such as Confluence, Adobe Cloud, Canva, Microsoft Office Suite, and Jira, and a commitment to continual learning and improvement. Physical requirements include the ability to sit, handle objects, lift up to 25 pounds occasionally, and flexibility to adjust working hours as needed. The working schedule is Monday through Friday, 8:30 AM to 4:30 PM EST.

Job Duties

  • Serve as the primary point of contact for Indexers, visitors, candidates, and guests, ensuring a seamless, welcoming, and high-quality experience
  • Act as a steward of company culture, helping foster a positive and engaging office environment
  • Coordinate office lunch programs including vendor coordination, ordering, delivery, office communications and setup
  • Maintain café and tea points, ensuring consistent stocking, cleanliness, and presentation standards
  • Partner with Community to support onsite events, activations, and employee engagement initiatives
  • Serve as a liaison between the Workplace team and local employees to ensure needs are met
  • Collaborate with IT, People Ops, and Community to support onboarding and offboarding processes including workstation setup, equipment coordination, office access, and smooth first-day experience
  • Assist with daily office operations to ensure a clean, organized, and fully functional workspace
  • Coordinate the ordering and restocking of office supplies, pantry items, and workplace equipment aligning with team guidelines and approval
  • Coordinate with vendors and building management for services such as cleaning, maintenance, repairs, and deliveries
  • Ensure all vendors comply with building policies and requirements
  • Handle incoming and outgoing mail and packages ensuring timely distribution and organization
  • Maintain common areas, conference rooms, kitchens, and restrooms to high standards
  • Proactively monitor office operations, resolve day-to-day issues, and escalate to the Workplace Manager
  • Support office safety and compliance including emergency procedures and coordination of drills
  • Partner with the global Workplace team to keep documents organized handling scanning, filing, and maintaining accurate records
  • Respond to and manage requests submitted via Jira providing backup support
  • Assist with outgoing shipments and returns via FedEx including label creation, scheduling pickups, tracking deliveries, and cost-effective shipping
  • Act as the Workplace team admin managing weekly global meeting agendas, Fun Friday coordination, tracking employee milestones, and partnering to deliver recognition moments
  • Assist with planning and executing internal events and onsite meetings including room set-ups, catering, and visitor access
  • Support and manage conference room scheduling and resolve conflicts
  • Partner with internal teams to deliver seamless meeting and event experiences
  • Assist with larger onsite events and special projects as needed
