The current opportunity at Reducto is for the role of Workplace & Experience Coordinator based in San Francisco, an essential, hands-on position that significantly shapes the employee daily experience at the company's headquarters. This role involves close collaboration with the Office of the CEO and People team whilst maintaining independent ownership of the office environment. The Workplace & Experience Coordinator will be responsible for ensuring the San Francisco office feels welcoming, organized, and inspiring every day. The role demands proactive management of the office’s ambience, routine upkeep, supply management, and event operations. This individual serves as the first point of contact for visitors, guests, candidates, and investors, thereby embodying the company’s hospitality and operational standards.

Job Requirements

  • Two plus years of experience in an administrative or hospitality setting
  • Ability to work in person at the San Francisco office

Job Qualifications

  • Two plus years of experience in an administrative or hospitality setting, ideally in a fast-paced environment
  • Strong organizational skills with the ability to juggle competing priorities
  • Warm, outgoing, and approachable demeanor
  • Excellent communication skills with vendors, executives, and new hires
  • Ability to work independently and make sound judgment calls in a dynamic startup environment
  • Genuine hospitality instincts and pride in attention to detail
  • Experience planning events or managing office operations at a high-growth startup is a plus
  • Proficiency in Google Workspace, Notion, Slack, and expense platforms like Ramp is preferred
  • Experience supporting executives or high-visibility guests is a bonus
  • CPR/AED certification is advantageous

Job Duties

  • Own the day-to-day feel and function of the SF office, from daily walkthroughs to restocking supplies to making sure the space is clean, safe, and welcoming every single day
  • Manage relationships with vendors and building partners, including food & beverage, cleaning, maintenance, and security, holding them to the standard our team deserves
  • Plan and execute in-office events and culture moments, team lunches, celebrations, offsites, and the spontaneous stuff that makes people want to come in
  • Coordinate catering and food programs, including ordering, setup, takedown, and invoice review
  • Act as the on-the-ground host for guests, candidates, and visitors, including investors and customers, making sure every visit reflects well on Reducto
  • Support space planning, furniture moves, and office improvement projects as the team grows
  • Help manage the workplace budget: track expenses, review invoices, and flag cost-saving opportunities in partnership with Finance
  • Support health, safety, and emergency preparedness for the office, including drills and readiness materials
  • Partner across People, IT, Security, and the Office of the CEO to keep employees informed of workplace updates and to support company-wide events and initiatives
  • Gather feedback from the team and use it to keep improving the office experience
