Job Requirements

  • High school diploma required
  • at least 2 years of proven experience in event planning and coordination
  • demonstrated experience in planning, organizing, and executing events
  • excellent written and verbal communication skills
  • strong organizational skills and ability to manage multiple priorities and deadlines independently
  • proficiency in Microsoft Office Suite
  • experience with Salesforce is strongly preferred

Job Duties

  • Manage organization's events calendar
  • develop detailed event plans including timelines and logistics
  • create and manage event budgets ensuring expenses stay within constraints
  • coordinate with vendors such as caterers, decorators, audio-visual technicians, and venues
  • collaborate with Marketing to promote events via social media and email campaigns
  • determine and manage sponsorship opportunities
  • handle registration for organization and attendees
  • coordinate event needs including booths, collateral, giveaways
  • arrange travel for events
  • maintain inventory of event materials including booths, banners, giveaways, collateral
  • gather post-event feedback to assess success and identify improvements
  • provide support and resources to participants to ensure positive experience
  • work closely with team members to align events with organizational goals
  • manage leads collection from booth traffic and session attendance and input into Salesforce
  • send attendee/registrant lists to Marketing post-event
  • plan and coordinate logistics for speaking sessions including proposal submissions, marketing outreach, presentation planning, collateral handling, and follow-up management
