The position of WIC Receptionist / Community Nutrition Educator Float at Adelante Healthcare is a vital role within the Special Supplemental Nutrition Program for Women, Infants, and Children (WIC). This role is responsible for greeting and supporting clients concerning WIC policies and procedures, ensuring a welcoming and efficient environment for all participants. A key part of the role includes answering and routing incoming calls for various clinics, scheduling and managing appointments, and conducting client certification and pre-certification processes for WIC eligibility. The position demands a balance of administrative and direct client interaction duties, requiring the employee to conduct health appraisals and nutritional assessments, provide tailored nutrition counseling, and facilitate referrals to specialized care as needed. This role involves active engagement in community health promotion and nutrition education, which is fundamental in enhancing the wellbeing of women, infants, and children served by the program.

The WIC Receptionist / Community Nutrition Educator Float must utilize critical thinking skills to address complex nutritional needs including lactation management, monitor client progress, and maintain meticulous documentation in the WIC Hands software system. Additionally, the role includes office management responsibilities such as ordering supplies and ensuring the organization of physical office space. Compliance with health and safety protocols including CPR certification and fingerprint clearance is essential, as well as the ability to work effectively with diverse populations. Bilingual proficiency in English and Spanish is strongly preferred to better serve the community's language needs. The job also involves occasional travel to other clinic sites and supporting broader organizational projects, requiring flexibility and adaptability. Job Requirements

  • High school diploma or GED
  • Certification to perform CPR and AED
  • Valid Level One Fingerprint Clearance Card
  • Professional customer service experience
  • Experience with appointment scheduling and walk-in client management
  • Proficient in Microsoft Office and relevant software
  • Ability to work with diverse populations
  • Reliable transportation
  • Ability to maintain confidentiality
  • Strong prioritization and multitasking skills
  • Bilingual English and Spanish strongly preferred

Job Qualifications

  • High school diploma or GED from an accredited institution
  • Certification in CPR and AED through recognized courses
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety
  • Professional customer service skills
  • Scheduling and managing walk-in clients experience
  • Proficiency with Microsoft Office and relevant program-related applications

Job Duties

  • Answer calls, take messages, and direct calls appropriately
  • Demonstrate efficient use of the HANDs System to schedule and reschedule appointments, enroll clients, and obtain income documentation
  • Order office supplies for the WIC Program as requested
  • Manage a wide range of administrative tasks and projects
  • Maintain organization and appearance of the office
  • Conduct health appraisals and nutritional assessments accurately and record appropriately in the web-based WIC Hands software program
  • Utilize critical thinking skills to determine specific nutrition counseling, lactation management, and monitor progress
  • Refer high risk clients to registered dietitian
  • Complete required documentation to support eligibility for WIC
  • Issue appropriate drafts and complete issuance with required documentation
  • Provide education, counseling, and referrals to clients and document these activities
  • Manage routine office matters including client interaction, phone management, filing, and basic customer service complaint resolution
  • Travel to other sites as needed
  • Conduct hemoglobin testing per ADHS policy and procedures
  • Assist WIC Program Regional Coordinator and/or Site Leader with projects as assigned
