The Wellness Event Coordinator role plays a pivotal part in bringing WellnessIQ’s client wellness initiatives to life. This position is responsible for the end-to-end planning, coordinating, and execution of engaging virtual, onsite, and hybrid wellness events. The role demands a highly organized, customer-focused professional who can effectively manage multiple event logistics, technology platforms, vendors, and stakeholder communications to deliver seamless event experiences. The Wellness Event Coordinator works across internal teams, client vendors, and wellness partners to ensure each event runs smoothly from concept through to post-event reporting. Responsibilities include managing virtual event platforms like Zoom and Teams, overseeing live event setups, coordinating speakers and schedules, handling onsite logistics, supporting attendee needs, maintaining vendor partnerships, and driving continuous improvement through feedback collection and data analysis.
This full-time, exempt position offers a competitive salary range of $65,000 to $75,000 annually based on location, skills, and experience. The role is fully remote with positions available for individuals residing in Phoenix, AZ; Boise, ID; or Dallas, TX. - 2+ years of event planning, wellness, customer service, or related experience
- Passion for health and wellbeing

Job Qualifications

Job Duties
- Plan and coordinate client virtual, hybrid, and onsite events from concept through execution
- Develop event timelines, run-of-show documents, and task lists
- Coordinate schedules, speakers, presenters, and internal teams with client vendor partners and WellnessIQ partners
- Manage virtual event platforms such as Zoom and Teams
- Conduct tech checks and rehearsals with speakers and attendees
- Monitor live virtual events, troubleshoot issues, and ensure smooth delivery
- Coordinate venue logistics, room setups, audiovisual needs, and catering
- Act as the main point of contact during onsite events
- Oversee event setup, registration, and breakdown
- Oversee marketing efforts before and during the live onsite event
- Serve as a customer-facing representative for attendees, speakers, and partners
- Respond to inquiries professionally and promptly
- Ensure a positive, inclusive, and well-organized event experience
- Liaise with vendors, venues, service providers, and brokers
- Provide current client Wellness Strategy Managers with weekly event updates
- Track deliverables, contracts, and event-related materials
- Deliver post-event engagement reports and wrap-up
- Collect employee, employer, and vendor feedback
- Identify opportunities for improvement and share insights with the team
