The hiring organization is a fast-growing law firm specializing in estate planning, probate, and trust administration located in Murrieta. The role available is for a full-time Welcome Coordinator who will serve as a vital bridge between the firm and its prospective clients. This position involves multiple responsibilities including sales, customer service, and data entry. The ideal candidate must be comfortable discussing complex legal topics and significant financial commitments with sensitivity and maturity. Training is provided to help the Welcome Coordinator understand the firm's services thoroughly and to be able to effectively communicate the value of these services to potential clients.

This role requires an individual who excels in relationship-building both over the phone and in person. The Welcome Coordinator's primary goal is to generate new leads and ensure a smooth transition of prospective clients into engaged clients. Due to the nature of estate planning and trust matters, a high level of detail orientation is critical to accurately track client data and case progress. The position demands a motivated, detail-oriented, creative, and empathetic individual who can work well as part of a team and contribute to the firm's ongoing mission to help more people protect their futures. Additionally, the role involves coordinating with marketing to plan networking activities and producing regular reports for management review. Job Requirements

  • Minimum two years of telephone experience
  • minimum one year of data entry experience
  • keyboarding ability, 40 words per minute
  • superb written and verbal communication skills
  • excellent interpersonal skills and ability to develop relationships
  • high school diploma required, bachelor’s degree preferred
  • experience working in a high volume customer service role
  • ability to build a relationship with a person
  • ability to interact with different types of personalities
  • empathy to potential clients and ability to put them at ease during difficult times
  • ability to close a sale by creating urgency and promoting value
  • ability to think on their toes and remain resilient
  • willingness and ability to quickly learn new topics such as estate planning
  • ability to treat all client interactions with the same care and compassion regardless of timing
  • ability to follow instructions and understand the importance of policies and procedures
  • team player who acts with respect and integrity
  • understanding of Microsoft Office products and cloud-based software

Job Duties

  • Conduct in-depth in-person and telephonic meetings with potential new clients to perform a needs analysis
  • maintain a tracking system to monitor leads, new clients, and referral sources
  • enter client data in the case management system
  • follow up with potential new clients who have not yet retained the firm
  • find and participate in networking activities on behalf of the firm
  • work with the Marketing Assistant to plan networking activities for staff and owner
  • produce weekly lead conversion and cost of acquisition reports for review with the owner
  • oversee the smooth transition of new cases to the legal team
  • manage client feedback and reviews
