The role of Welcome Coordinator at Oak Street Health is vital in shaping the patient and visitor experience from the very first moment they engage with the health center. Welcome Coordinators act as the friendly face and primary point of contact, responsible for creating a warm, inclusive, and efficient environment within the clinic. They carry out a variety of administrative and operational activities that support both patients and staff, enabling smooth clinic flow and exceptional service delivery. This position is full-time, with typical weekly hours of 40, and has a pay range between $17.00 and $28.46 per hour depending on factors such as experience, education, and location. Additionally, the role is eligible for bonus or incentive programs offered by CVS Health.
In this position, Welcome Coordinators perform essential duties such as greeting patients and visitors, facilitating check-in procedures, managing appointment scheduling, updating patient records in electronic medical systems, collecting co-pays, and handling communication via phone and fax. They provide high-touch personalized assistance that aligns with the organization’s vision of delivering excellent, accessible healthcare. Working closely with the Practice Manager, Welcome Coordinators contribute to a service-centered team focused on building seamless experiences for patients and community members. Being flexible and personable is key, as Welcome Coordinators are occasionally called on to support other facilities within the region. This role is not just administrative but also deeply relational, requiring a genuine nursing and welcoming attitude especially as Oak Street Health serves older adults who benefit from compassionate care.

- Strong computer skills required and basic knowledge of Google Suite

- fluency in Spanish, Polish, Russian, or other languages spoken by people in the communities we serve where necessary
- US work authorization

Job Duties
- Welcoming patients and guests
- conducting visit check-in and assisting patients with required forms
- collecting co-pays
- updating patient information and making changes in electronic medical record platform
- scheduling/rescheduling appointments within electronic medical records platform
- managing phone lines by answering, taking messages, and conducting outbound calls as instructed
- managing faxes in the electronic fax platform
- maintaining the cleanliness of the Welcome and Community Room areas
- may be required to float to other centers in the region on an infrequent basis
- other duties as assigned
