Job Description
Asbury Seminary, formally known as Asbury Theological Seminary, is a distinguished institution dedicated to theological education and spiritual development. As a leading educational establishment in its field, it offers multiple academic programs aimed at preparing individuals for ministry and leadership roles within diverse religious communities. Alongside its core educational mission, the seminary boasts a vibrant Auxiliary Services department responsible for hosting and managing weddings, conferences, meetings, and various events on its scenic and historic campus. This department plays a vital role in coordinating seamless and memorable gatherings, contributing to the institution's community engagement and operational excellence.
The Events Support Staff position is an integral part of the Auxiliary Services team, reporting directly to the Weddings & Events Manager. This non-exempt role is a part-time position, requiring approximately 20 hours of work per week. The primary purpose of this role is to maintain smooth office operations while actively supporting the sales and coordination of weddings and other events. The professional who fills this role will be expected to communicate internal and external messages efficiently through multiple channels, including social media platforms such as Facebook, Instagram, and Pinterest, emails, telephone calls, and personal interactions.
This multifaceted position involves administrative tasks such as data entry, scheduling, processing room use for various events, and developing promotional materials that enhance the visibility and attractiveness of Asbury Seminary's event services. A creative and tech-savvy approach is encouraged, as the role includes designing event content and producing materials that capture the attention of potential clients and attendees. Familiarity with digital tools like Google Suite, Microsoft Office, Canva, Trello, and specific event management software is essential, with training provided for specialized software such as True Client Pro and departmental audio-video equipment.
In addition to the administrative and marketing functions, the Events Support Staff is responsible for practical event support duties, including setting up venues for wedding ceremonies and receptions. This requires physical stamina, as the role demands the ability to lift supplies up to 40 pounds and transport them across various campus buildings. Candidates must possess a strong eye for aesthetics, excellent organizational skills, and the ability to multitask in a fast-paced environment requiring quick transitions between tasks.
Financial responsibilities are also part of this comprehensive role. The employee will generate quotes, contracts, and confirmations for clients, manage invoices, and input financial transactions into the department's management system. Maintaining accurate records and managing data securely and efficiently is paramount. Moreover, the role includes duties such as digital filing, organizing information, providing campus tours, and assisting with receipt tracking and money distribution.
Independence and reliability are key attributes for success in this position. While working with team members and clients, the individual must also demonstrate an ability to think and act autonomously. An undergraduate degree is preferred but not mandatory, with candidates expected to have at least one year of experience in administrative roles. Strong verbal and written communication skills, punctuality, dependability, and a proactive approach to problem-solving will distinguish successful applicants.
In summary, the Events Support Staff role at Asbury Seminary is a dynamic blend of administrative, creative, and operational responsibilities tailored to support the vibrant events calendar of a prestigious theological institution. The role provides an exciting opportunity for those interested in event management, communication, and organizational administration within a community-oriented academic environment.
