We are currently seeking passionate, organized, and dedicated Lead Wedding Coordinators based in Portland to join our growing team. This position is designed as a contract role, allowing for flexibility in scheduling to accommodate individual availability and lifestyle needs. The Lead Wedding Coordinator is a pivotal role that involves spearheading wedding planning services onsite, acting as the primary liaison and advocate for the couple throughout the event day. As a lead planner, you will work collaboratively with assistant coordinators to ensure every detail is executed flawlessly. Your responsibilities will include creating comprehensive wedding timelines tailored to each couple, overseeing ceremony and reception setups, and managing all day-of operations from the morning's initial preparations to the evening's final teardown. You will be instrumental in coordinating with vendors, greeting them upon arrival, facilitating smooth setup processes, and resolving any day-of challenges with professionalism and calm under pressure. Beyond logistics, this role demands exceptional interpersonal skills to assist the wedding party and family members with questions, concerns, or last-minute needs. Your presence will guarantee that every element from seating arrangements and table settings to gifts and guest books is managed with precision and care.

Job Requirements

Job Duties

  • create wedding timelines for couples
  • be an advocate for the couple keeping them calm under pressure and assisting with any issues that arise throughout the day
  • oversee ceremony and reception set up
  • execute all day-of operations for the wedding including being at the venue from the very beginning of the morning through tear down at the end of the night
  • greet and direct all vendors
  • communicate with all vendors regarding set ups
  • set up seating cards menu cards table numbers favors guest book and other decor
  • assist the wedding party and family with any needs questions or concerns
  • ensure end of event arrangements are made for gifts guest book toasting flutes etc
