We are currently seeking enthusiastic and detail-oriented Lead Wedding Coordinators to join our team in Utah in preparation for the 2026 wedding season and beyond. This contract role offers the flexibility to set your own schedule, making it an excellent opportunity for those who are passionate about wedding planning and desire a work arrangement that accommodates personal commitments. The position is structured around project-based compensation, with pay set at $350 per project for an estimated 10 to 12 hours of work. Comprehensive training is provided to ensure coordinators are fully prepared to deliver top-tier service.

The Lead Wedding Coordinator plays a pivotal role in our operations by providing expert wedding planning services primarily onsite during wedding events. Working closely with client experience managers throughout the planning phases, lead coordinators are responsible for managing the critical aspects of wedding day execution. This includes attending key milestone meetings such as the final details call with clients approximately six weeks prior to the wedding to confirm logistics, timelines, and expectations.

On the wedding day, the Lead Wedding Coordinator leads and facilitates the ceremony rehearsal, ensuring all participants understand the timing, processional flow, and critical cues. They serve as the primary advocate for the couple throughout the event, maintaining a calm and solutions-focused presence while managing any challenges that might arise. Responsibilities extend to overseeing ceremony and reception setups following the event design and execution playbook, managing vendor arrivals, and acting as the main point of contact for all vendors.

Additional duties include coordinating the placement of important personal and event details such as escort cards, menus, table numbers, favors, guest books, and decor elements. The coordinator supports the wedding party and family by providing guidance, timing cues, and addressing any day-of needs to ensure a seamless and memorable experience. At the conclusion of the event, they handle the proper packing and accounting of all end-of-event items, including gifts and personal decor.

The ideal candidate will have at least two years of experience as a wedding or event planner, possess strong communication skills, and be highly detail-oriented. Reliable transportation and the ability to work weekends are essential due to the nature of wedding schedules. Physical stamina is also important, as the role requires the ability to carry and lift items weighing up to 30 pounds.

Job Duties

  • Attend final details call with clients approximately 6 weeks prior to the wedding to confirm logistics, timeline, and expectations
  • Lead and facilitate the ceremony rehearsal on the day prior to the wedding, ensuring all participants are confident in timing, processional flow, and key cues
  • Serve as the primary advocate for the couple onsite, maintaining a calm, solutions-focused presence and supporting them through any challenges that arise
  • Oversee ceremony and reception setup in alignment with the event design and day-of execution playbook
  • Manage full wedding day execution from initial vendor arrival through final breakdown at the end of the evening
  • Greet, direct, and act as the main point of contact for all vendors
  • Coordinate and assist with placement of personal and event details including escort cards, menus, table numbers, favors, guest book, and décor elements
  • Support the wedding party and family members with guidance, timing cues, and any day-of needs
  • Ensure all end-of-event items (gifts, guest book, personal décor, etc.) are properly packed and accounted for
  • Proactively manage and resolve any issues or last-minute changes to maintain a smooth guest experience
