The Warehouse Coordinator role is central to supporting the efficient operation of Cart.com’s Life Sciences fulfillment centers. This position emphasizes the importance of detail, communication, and compliance as the coordinator manages both administrative and operational workflows within the facility. Responsibilities include ensuring timely communication with clients, maintaining compliance documentation such as MSDS sheets and audit records, and coordinating daily site activities to foster a compliant and welcoming workplace.
Reporting to site leadership, the Warehouse Coordinator works collaboratively with both Operations and People teams to ensure smooth site operations that meet internal standards and client expectations. The role involves tracking preventive maintenance for site equipment, supporting inventory and receiving activities, managing inbound and outbound shipments, and maintaining temperature monitoring systems. Additionally, this position plays a key role in enhancing the workplace and employee experience by assisting with event coordination, managing common areas, and liaising with vendors for cleaning and maintenance.
Ideal candidates are proactive, dependable, and possess strong attention to detail. They must be confident communicators able to interact professionally with government representatives and clients. The role demands a team-oriented individual who thrives in a fast-paced, regulated environment and enjoys balancing administrative duties with hands-on operational tasks.
Candidates should have a minimum of 2 years’ experience in administrative and coordination roles within warehouses, manufacturing, or fulfillment centers, combined with customer service experience handling client inquiries. Proficiency in Microsoft Excel and Office Suite is essential, along with exceptional organizational, time management, and communication skills. Experience in Life Sciences, pharmaceutical or regulatory compliance environments, and familiarity with document management systems like MasterControl are considered beneficial. Spanish language skills at an intermediate or advanced level are a plus.
Physically, the role requires the ability to occasionally lift up to 50 pounds, frequent walking, standing, bending in a warehouse setting, and tolerance to variable temperatures, including cold chain areas. Occasional travel to support nearby facilities may also be required.

Job Qualifications
- 2+ years of experience in administrative or coordination roles within a warehouse, manufacturing, or fulfillment environment
- 2+ years of experience in a client facing customer service role responding to customer issues and inquiries via phone/email/chat
- Proficient Excel experience including creating formulas, inputting data, and creating spreadsheets
- Experience managing communications and documentation for government or regulated clients preferred
- Demonstrated organizational and time management skills
- Proficient in Microsoft Office Suite including Outlook, Excel, Word
- Strong written and verbal communication skills
Job Duties
- Serve as the main point of contact for incoming client communications specific to site operations
- acknowledge receipt of emails, respond promptly, and ensure timely resolution or follow-up
- track and manage completion of all tasks or requests related to client correspondence
- maintain accurate and organized documentation, including MSDS sheets, regulatory forms, and audit records
- create and delete user profiles in MasterControl and support other compliance systems as directed
- Schedule and track preventive maintenance activities for site equipment
- Support receiving, inventory, or cycle count activities as needed
- Schedule inbound/outbound trucks and coordinate related documentation
- Run and distribute daily operational reports such as timeclock, labor, or temperature logs
- Keep site temperature monitoring systems visible and alert-ready at all times
- Assist with site event coordination including birthdays, holidays, lunches, celebrations
- Partner with the People and Operations teams on employee engagement and communications
- Ensure common areas and offices are organized, stocked, and well-presented
- Coordinate with vendors for cleaning, maintenance, and supplies as needed
- Support other warehouse or administrative tasks as needed to ensure smooth operations
- Assist leadership with ad hoc reporting, expense tracking, and data entry
