The Volunteer Services Coordinator II plays a pivotal leadership role within the Volunteer Services Team at Community Food Bank. This experienced position is responsible for leading volunteer recruitment, orientation, placement, recognition, and management of the volunteer database. The role is critical in ensuring efficient and meaningful volunteer experiences that support the organization's diverse programs and events, including high-volume mobile distributions. As a lead coordinator, this position independently manages volunteer engagement processes, conducts orientation sessions and tours, and acts as a primary liaison with department supervisors to guarantee smooth group volunteer activities.

This role also involves mentoring interns and office volunteers, providing coaching and informal guidance to enhance team effectiveness. The Volunteer Services Coordinator II helps maintain robust volunteer recognition efforts, developing acknowledgment practices and organizing activities such as card signings and gift distributions. Operational responsibilities include handling complex volunteer scheduling across multiple departments, managing volunteer inquiries with professionalism, and ensuring compliance with program requirements, particularly for CSV volunteer programs.

Data management is another key aspect of the position. The coordinator is tasked with maintaining, auditing, and updating volunteer database records to ensure accuracy and confidentiality, troubleshooting database issues, training users, and generating reports that inform decision-making and program development. Additionally, this role provides advanced administrative support and takes part in special projects like planning volunteer events and enhancing volunteer engagement strategies.

Occasional evening and weekend hours are required to support special events and business needs, reflecting the dynamic nature of the volunteer program and community events. The ideal candidate will demonstrate advanced communication skills, a strong understanding of volunteer program coordination, scheduling logistics, and compliance standards, as well as the capability to independently manage complex workflows and high-volume environments. This position requires a valid Arizona Driver's License and ability to travel to various CFB locations.

Through this role, the Volunteer Services Coordinator II directly contributes to fulfilling CFB's mission by building an engaged, well-supported volunteer community that helps maximize the impact of the organization's work to combat hunger and build resilience within the community.

Job Requirements

  • 2-3 years of experience in volunteer coordination, program support, community engagement, or related fields
  • Demonstrated experience working in a fast paced, complex environment
  • Proficiency in Microsoft Office Suite, volunteer database platforms, and Office 365
  • Valid Arizona driver's license with a clean driving record
  • Ability to travel to different CFB locations
  • Ability to troubleshoot and train others on database and scheduling systems
  • Strong verbal and written communication skills
  • Ability to manage complex workflows and competing deadlines
  • Knowledge of volunteer program compliance and documentation
  • Ability to work occasional evenings and weekends
  • Ability to perform light work requiring exertion of up to 20 pounds occasionally

Job Qualifications

  • Bilingual English/Spanish preferred
  • Skilled in managing large volumes of data, documentation, and volunteer records with high accuracy
  • Advanced verbal and written communication skills, including facilitation of group orientations and meetings
  • Ability to develop trust, rapport, and positive relationships with internal partners, volunteers, and community groups
  • Capacity to communicate expectations clearly, resolve conflicts professionally, and represent CFB with a high level of interpersonal effectiveness
  • Strong understanding of volunteer engagement principles, scheduling logistics, and program coordination
  • Ability to independently manage complex workflows, competing deadlines, and high volume environments
  • Knowledge of compliance requirements for volunteer programs, including documentation, hours tracking, and reporting

Job Duties

  • Lead volunteer recruitment and stewardship for Mobile Distributions
  • Independently recruit, orient, and place individual and group volunteers across all CFB programs and events
  • Lead weekly volunteer tours, orientation sessions, and follow up engagement processes
  • Greet and engage large volunteer groups
  • act as the primary liaison with department supervisors to ensure smooth group experiences
  • Lead volunteer recognition efforts, including developing acknowledgment practices and implementing recognition strategies
  • Provide guidance, coaching, and informal mentorship to interns, office volunteers, and new team members
  • Provide support coverage for evening and Saturday volunteer activities as assigned
  • Support volunteer recognition efforts including card signing, distributing small gifts, and other directed activities
  • Manage high volume volunteer inquiries with professionalism and strong customer service
  • Coordinate with multiple departments to maintain and update a full, accurate, and dynamic volunteer schedule
  • Administer CSV volunteer programs by ensuring compliance with documentation requirements, hours tracking, and timely completion reporting
  • Support or lead cross departmental meetings to identify volunteer needs and develop coordinated solutions
  • Maintain, audit, and update volunteer database records to ensure accuracy and compliance
  • Troubleshoot database issues and provide user training for staff and volunteers
  • Produce reports, summaries, or data insights to support program needs and decision making
  • Uphold confidentiality and data integrity standards in line with organizational policies
  • Assist with planning and coordinating special volunteer events, celebrations, and recognition activities
  • Provide advanced administrative and logistical support to the Volunteer Services Team
  • Participate in continuous improvement efforts to enhance volunteer processes, tools, and engagement strategies
  • Perform other duties as assigned
