The Volunteer Engagement Coordinator position is a strategic and dynamic role focused on leading volunteer recruitment, engagement, and retention efforts to support the Food Bank’s daily operations and community-oriented programs. The successful candidate will develop and implement innovative recruitment strategies that attract a diverse array of individual and group volunteers, which include scheduling, onboarding, communication, and outreach to corporate, educational, and faith-based communities. This role involves managing volunteer systems and databases to ensure an organized, compliant, and data-driven approach to volunteer operations. The Coordinator serves as the primary administrative lead for the volunteer platform, tracking participation, attendance, and retention metrics while analyzing data to guide continuous improvement efforts.

More than just managing schedules, this role fosters meaningful volunteer experiences by coordinating placements according to departmental needs, organizing appreciation events, and maintaining comprehensive volunteer materials such as manuals and position descriptions. The Coordinator will also play an essential part in donor cultivation by linking volunteer activities with philanthropic engagement and working closely with the Development team to convert volunteers into donors and advocates. In addition, they will represent the Food Bank at community functions, promote hunger awareness, and facilitate communication strategies that reinforce volunteer connections.

In this role, the Coordinator will engage regularly with multiple stakeholders including volunteers, group leaders, staff, and external partners to ensure that volunteer programs remain effective, welcoming, and aligned with the Regional Food Bank’s mission and operational goals. The position requires adaptability, interpersonal sensitivity, and a passion for community service, and offers an opportunity to contribute to meaningful social impact by connecting people, resources, and purpose.

This is a full-time position classified as Safety Sensitive under Oklahoma law, reflecting the importance of attention to detail and reliability in managing volunteer activities that directly support the Regional Food Bank’s mission. Travel up to 50% may be required, and the role involves both office and occasional physical work environments. Job Qualifications

  • Bachelor’s degree in nonprofit management, communications, business, public administration, community engagement or a related field, or equivalent experience
  • minimum of two years of experience in volunteer coordination, community engagement, customer service, nonprofit operations, event coordination or related work
  • experience coordinating schedules, priorities and communication across multiple activities
  • experience communicating clearly with diverse individuals and groups
  • experience facilitating orientations, trainings, tours or group activities
  • experience using databases, scheduling platforms or CRM systems

Job Duties

  • Develop recruitment strategies that attract diverse volunteers and keep daily operations and programs staffed
  • recruit individuals and groups for sorting, packing, food preparation and distribution across multiple programs
  • conduct outreach to strategically selected corporations, schools, faith communities and civic clubs to build recurring group commitments
  • work with marketing to create messages to fill the needs of the organization and welcome new volunteers
  • track participation and re-engage inactive volunteers and groups to strengthen retention and encourage ongoing service
  • develop an outreach plan for targeted community and corporate partners
  • work with Development to identify high-potential donors within the active volunteer population
  • include philanthropic messages in orientations, wrap-ups and follow-up emails to connect service with funding needs
  • design volunteer experiences that encourage first-time participants to return as donors, advocates and partners
  • identify groups with greater potential engagement and connect them to opportunities for sponsorship, donations, advocacy and education opportunities
  • serve as lead administration for the volunteer system by managing shifts, scheduling, confirmations and capacity limits
  • monitor attendance, fill rates and volunteer-to-donor conversions to guide recruitment decisions
  • ensure attendance data syncs with the fundraising system so giving histories remain current and usable
  • audit profiles, group accounts and background check records to maintain accurate, secure and compliant data
  • maintain dashboards tracking fill rates, retention patterns and volunteer-to-donor conversions
  • manage the volunteer inbox so volunteers receive timely, accurate information
  • conduct data queries to generate reports, analyze volunteer engagement trends, and support strategic recruitment and stewardship efforts for individual and group volunteers
  • evaluate volunteer experiences regularly so programs remain meaningful, engaging and effective
  • partner with departments to identify current and future volunteer opportunities
  • place and coordinate individual and group volunteers to meet departmental needs
  • organize appreciation events and recognition programs that help volunteers feel valued and connected
  • maintain the volunteer manual, position descriptions and related participation materials
  • coordinate court appointed volunteers, including intake, background review and orientation
  • gather feedback and participation trends to identify barriers and improve volunteer experiences
  • serve as primary contact for group leaders by confirming schedules, expectations, logistics and day-of needs
  • resolve scheduling, placement and service issues promptly for a smooth, respectful experience
  • provide timely updates through multiple channels so volunteers stay informed, prepared and connected
  • coordinate feedback sessions with staff and volunteers to improve volunteer program implementation
  • carry out follow-up items from feedback sessions promptly, so agreed improvements move forward without delay
  • coordinate staff training so employees understand volunteer practices and how to use volunteers well
  • coordinate with human resources and event management in employee involvement in special projects
  • facilitate orientations, tours, hunger simulations, presentations and speaking engagements for volunteers
  • represent volunteer needs while honoring the Regional Food Bank’s mission, goals and program requirements
  • meet volunteer participation goals and objectives by following established procedures and maintaining program consistency
  • serve as the first contact for volunteers, donors and neighbors at the Volunteer Center, creating a respectful arrival experience
  • coordinate regularly with Operations staff so volunteer activities align with operational needs
  • represent the Regional Food Bank at community functions and partner events
  • communicate current information and opportunities internally and externally
  • promote public awareness of hunger issues, deepen understanding of the mission and encourage advocacy
  • other duties as assigned
