We are excited to welcome a new Virtual Receptionist to our intake team. This role is perfect for someone who thrives in a client-focused position, where managing incoming calls efficiently and compassionately is paramount. The Virtual Receptionist acts as the primary operator of the switchboard, ensuring calls and messages are screened accurately and routed to the appropriate personnel within the Intake department or broader firm. This position requires meticulous attention to detail, as the receptionist will be responsible for maintaining detailed records of all calls, including notes and outcomes.

This role is remote with the expectation of periodic in-office attendance in Pittsburgh for quarterly and other firm meetings. The first three weeks of training will take place in person at the North Shore office in Pittsburgh to ensure thorough onboarding and integration into the firm’s workflow and culture. The ideal candidate is not only organized and adept at multitasking but also exudes confidence and professionalism in all forms of communication. They must be empathetic and compassionate, skilled in listening actively while gathering critical information during calls.

In addition to managing calls, the Virtual Receptionist will prepare a variety of careful and precise correspondence including letters to clients, case letters with firm information, insurance letters, employer communications, and bureau document requests primarily related to Workers' Compensation files. Some documents may be created from dictation, demanding excellent typing skills and an ability to maintain accuracy under time constraints.

The role offers a standard full-time schedule from Monday to Friday with flexibility provided by the hybrid work arrangement. Strong computer skills are essential, including proficiency with MS Office applications and database entry software. While a medical background or experience in personal injury cases is preferred, it is not mandatory. The role requires at least a high school diploma or GED. ESA values thoroughness in the hiring process, requiring applicants to complete a screener questionnaire as part of their application to be considered.
