The VIP Guest Relations Manager plays a pivotal role in maintaining and enhancing the hotel’s elite service standards by managing guest reservations and relations with the utmost professionalism from the point of inquiry through to the conclusion of their stay. Reporting directly to the General Manager, this position demands someone with a deep understanding of the luxury hotel market, particularly experience handling VIP guests. The manager will act as a crucial liaison between guests and the hotel’s operational teams, ensuring that each client's preferences and special requirements are carefully noted and communicated to enhance their experience.

Key duties include managing direct inquiries and reservations, building lasting relationships with VIP clients and third-party representatives such as travel agencies, personal assistants, and concierge teams. The VIP Guest Relations Manager is also responsible for proactively upselling room types and ancillary services to maximize revenue opportunities. An essential part of this role is following up with past guests to encourage repeat bookings, especially during low-demand periods, thus contributing to the hotel's consistent business flow.

The position requires meticulous attention to detail and exceptional organizational skills. The manager must prepare detailed reports—weekly, monthly, quarterly, and annually—covering lost business, guest preferences, and turn-downs to inform strategic decisions. Familiarization tours and site visits form part of the responsibilities to stay abreast of market trends and opportunities. Proficiency in utilizing computer software applications is crucial for tracking and managing guest accounts effectively.

Job Requirements

  • High school diploma or equivalent vocational training certificate
  • bachelor degree and/or hotel management degree preferred
  • minimum of two years luxury travel and/or hotel sales management experience
  • ability to utilize computer software and hardware
  • must be customer-service oriented with excellent hospitality skills
  • ability to work flexible schedules including evenings, weekends, and holidays
  • ability to stand or walk for extended periods
  • ability to visually review documents and screens throughout day
  • must follow hotel safety guidelines and apply appropriate personal protective equipment
  • manual skills requiring motor coordination and finger dexterity

Job Duties

  • Manage all direct inquiries and reservations from start through completion
  • build and maintain relationships with guests and third parties representing guests such as travel agencies, personal assistants, concierge teams
  • capture guest preferences and important details on guest stays and communicate to operational team in advance of arrival
  • offer higher level room types or ancillary services to drive additional revenue when opportunities arise
  • prospect past guests for future stays to ensure base business
  • action arrivals report, guest preferences and ensure communication of special requests to operational team
  • prepare weekly, monthly, quarterly, and annual reports including lost business and turn-down reports
