Central Oregon Animal Hospital is a reputable small animal veterinary practice located in the beautiful city of Bend, Oregon. Central Oregon Animal Hospital is currently seeking a self-motivated, compassionate individual to join their team as a full-time Client Service Representative. This role offers a 10-hour workday, three to four days per week including rotating Saturdays, totaling 30 to 40 hours weekly. The position is essential in maintaining smooth hospital operations by providing excellent customer service and client communication that directly supports quality pet care and promotes efficient workflow within the practice. The successful candidate will work closely with the Hospital Manager, Managing Veterinarian, and Lead CSR, and will be responsible for performing a variety of administrative duties that include scheduling appointments, managing accounts, coordinating communications between clients and medical staff, and maintaining a welcoming, organized environment.
This role requires a compassionate approach as well as resilience to handle various challenges typical of a veterinary environment, including exposure to unpleasant odors, noises, and potential encounters with animal bites, scratches, and waste. The Client Service Representative must demonstrate excellent interpersonal skills, the ability to multitask effectively under pressure, and a commitment to exceptional client care. Duties include posting daily transactions and hospital invoices, collecting payments including past-due accounts, accurately scheduling appointments to meet pet needs, greeting clients warmly, and assisting with general office and telephone reception duties. The individual must also adhere to hospital policies on personal conduct and professional behavior.

Job Requirements
- education equivalent to completion of the 12th grade
- knowledge of general office practices and procedures, reception duties, and telephone techniques
- demonstrate ability to perform clerical work with speed and accuracy
- use a multiple-line telephone system
- handle cash and other forms of payment
- experience assembling patient records and accurately entering information
- ability to complete assigned tasks in the time allotted without direct supervision

- preferred one or more years recent experience in a veterinary facility

Job Duties
- perform posting of daily transactions and hospital invoices
- collect on accounts including past-due accounts
- ensure payment policy is followed and proper documents are obtained from clients
- complete end-of-day reporting and reconciliation of payments
- accurately schedule appointments based on pet needs and required time allotments
- verify all services requested by clients
- maintain daily, weekly, and monthly DVM schedules to optimize patient care
- greet clients and verify all information is correct
- maintain clinic flow by rooming clients quickly and communicating with medical staff
- communicate with clients about visits and recommended services
- communicate pricing using estimate tools
- adhere to hospital policies, standards, and procedures
- demonstrate initiative by assisting other employees and filling in as needed
- organize work area and maximize personal efficiency
- prioritize and handle multiple tasks calmly
- assist new team members with hospital policies
- perform other duties as directed by management
