Job Requirements

  • High school diploma or equivalent
  • minimum 2 years in a veterinary receptionist or client service role
  • must be available Monday, Tuesday, Thursday, Friday from 7:30am-6:00pm and 2 weekends per month

  • proven ability to handle a high volume of client calls and inquiries with a friendly, solution-oriented attitude
  • strong attention to detail in managing medical records, appointments, and client information
  • ability to maintain accurate and organized records
  • collaborative approach to working with colleagues

Job Duties

  • Greet and check in clients and patients in a friendly and professional manner
  • answer phone calls, schedule appointments, and assist clients with questions regarding services, pet care, and billing
  • provide clients with information about their pet's health, procedures, and appointments in a clear, compassionate way
  • coordinate appointment scheduling, ensuring efficient use of the hospital's time and resources
  • process and track medical records, client communications, and billing information accurately
  • manage client concerns or complaints and escalate issues to the hospital management team when needed
  • handle front-desk tasks, such as filing, record-keeping, and managing the flow of patient records
  • process payments, process insurance claims, and manage transactions
  • ensure proper organization of medical records and assist in keeping clinic files and documents up-to-date
  • assist the clinical team by ensuring patients are checked in and ready for appointments on time
  • help maintain a clean and organized reception area, ensuring the hospital environment is welcoming to clients and patients
  • collaborate closely with veterinary assistants, technicians, and veterinarians to ensure the smooth flow of patients throughout the hospital
  • maintain office supplies and equipment, ensuring everything is stocked and in good working condition
