The position of Venue Sales and Event Coordinator within the University Museum is crucial in facilitating the seamless execution of diverse events hosted on campus. Reporting directly to the Director of Venue Sales and Events, this role demands a proactive and dynamic individual to manage assigned events from inception through completion. Responsibilities include coordinating rental and student events catering to groups of varying sizes, collaborating closely with catering, security, building operations, and external vendors to ensure impeccable service quality and client satisfaction.

This role requires a candidate who thrives in a fast-paced, often noisy environment, demonstrates meticulous attention to detail, and can juggle multiple projects simultaneously. The coordinator supports the event team by providing hands-on assistance during events, managing administrative tasks including contracts, invoicing, and follow-ups, and utilizing CRM software such as Altru to maintain efficient workflow and client interactions. Flexibility in schedule is essential, as the role occasionally entails working evenings and weekends to oversee event operations.

Located in Philadelphia, Pennsylvania, this hourly position offers a competitive wage range of $17.98 to $21.63 based on experience and qualifications. Job Requirements

Job Duties

  • Oversee a portfolio of events assigned to the position from start to finish
  • Work closely with private clients and internal University and Museum clients to create seamless events including planning and logistics
  • Support the Director in activities and events relating to the department
  • Provide hands on support to catering and facilities teams when needed to ensure excellent service and be present at events from start to finish
  • Complete administrative duties as needed including contracts, invoices, follow up correspondence, photography, social media presence, and office supplies
  • Use Altru or equivalent CRM software for event tracking and management
  • Perform additional duties as assigned
