Job Requirements

  • Knowledge of vendor management and event contracting including facility rentals and buyouts
  • Strong understanding of event planning and operational requirements
  • Effective project management and organizational skills
  • Proven ability to manage multiple events and priorities simultaneously
  • Strong problem-solving skills and ability to remain calm under pressure
  • Excellent written and verbal communication skills across diverse audiences
  • Experience using Microsoft Office and event management systems such as Tripleseat
  • Ability to work collaboratively across departments and with external partners
  • Demonstrated ability to deliver high-quality outcomes and guest experiences

Job Qualifications

  • Bachelor’s degree preferred
  • Experience in event sales, planning, and coordination
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office and event management software (e.g., Tripleseat)
  • Ability to multitask and manage priorities effectively
  • Experience collaborating across departments and with external partners
  • Customer service experience with the ability to resolve conflicts
  • Demonstrated capability to deliver high-quality event experiences

Job Duties

  • Lead event sales, contracting, planning, and onsite coordination for private rentals and public programs
  • Oversee event setup, execution, and breakdown ensuring timely and quality delivery
  • Coordinate event logistics including floorplans, vendor needs, staffing, and guest flow
  • Provide positive and engaging guest experiences while handling inquiries and resolving escalated concerns
  • Step into operational roles to support event success and enforce policies including food service and alcohol protocols
  • Manage vendor research, booking, coordination, and payments with a focus on educational programming
  • Support venue rental marketing efforts through lead generation, platform management, and outreach
  • Assist in programming development and partner coordination for 21+ events, birthday programs, and public offerings
  • Manage contracts, event details tracking, and internal communications to ensure team alignment
  • Perform additional duties to support departmental and organizational goals
