The Venue Experiences Department at Pacific Science Center focuses on creating exceptional event experiences by leveraging the unique and inspiring spaces within the center. The Venue Experiences Coordinator plays a crucial role in the success of this mission by overseeing all facets of event sales, detailed planning, and flawless onsite execution. This full-time, hourly, non-exempt position reports directly to the Venue Experiences Manager and is vital in managing both private rental events and public programs. The salary is commensurate with experience and reflects the responsibility of delivering high-caliber experiences that support the institution's goals.
The Coordinator must possess strong organizational skills and attention to detail to juggle multiple projects simultaneously while maintaining clear and effective communication with clients, vendors, and internal teams. Responsibilities include managing the entire event lifecycle from inquiry to execution, crafting engaging and well-organized experiences that reflect the center’s mission. This role also supports revenue growth through proactive sales efforts, marketing support, and vendor program management, ensuring Pacific Science Center's venues are optimally utilized. By collaborating cross-departmentally with Guest Services, Facilities, Exhibits, Custodial, and others, the Coordinator ensures events run smoothly, safely, and memorably. This role demands problem-solving acumen, customer service expertise, and the ability to handle escalated concerns professionally, contributing to an overall positive guest experience.

Job Requirements
- Knowledge of vendor management and event contracting including facility rentals and buyouts
- Strong understanding of event planning and operational requirements
- Effective project management and organizational skills
- Proven ability to manage multiple events and priorities simultaneously
- Strong problem-solving skills and ability to remain calm under pressure
- Excellent written and verbal communication skills across diverse audiences
- Experience using Microsoft Office and event management systems such as Tripleseat
- Ability to work collaboratively across departments and with external partners
- Demonstrated ability to deliver high-quality outcomes and guest experiences
Job Qualifications
- Bachelor’s degree preferred
- Experience in event sales, planning, and coordination
- Strong organizational and project management skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office and event management software (e.g., Tripleseat)
- Ability to multitask and manage priorities effectively
- Experience collaborating across departments and with external partners
- Customer service experience with the ability to resolve conflicts
- Demonstrated capability to deliver high-quality event experiences
Job Duties
- Lead event sales, contracting, planning, and onsite coordination for private rentals and public programs
- Oversee event setup, execution, and breakdown ensuring timely and quality delivery
- Coordinate event logistics including floorplans, vendor needs, staffing, and guest flow
- Provide positive and engaging guest experiences while handling inquiries and resolving escalated concerns
- Step into operational roles to support event success and enforce policies including food service and alcohol protocols
- Manage vendor research, booking, coordination, and payments with a focus on educational programming
- Support venue rental marketing efforts through lead generation, platform management, and outreach
- Assist in programming development and partner coordination for 21+ events, birthday programs, and public offerings
- Manage contracts, event details tracking, and internal communications to ensure team alignment
- Perform additional duties to support departmental and organizational goals
