Job Description

The Heritage, Culture & the Arts Division of the City of Lakewood is currently seeking dedicated variable employees to support their event rental and community programs. This role is part-time and non-benefitted, offered on an at-will, seasonal or temporary basis, with compensation ranging from $19 to $21 per hour. Employees in this position will have a dynamic schedule dictated by business needs, especially surrounding specific event dates from early June through December. This role is integral to the success of various community festivals, amphitheater programs, private rental events, and other cultural gatherings hosted by the city.
The primary focus of this position is to provide excellent customer service to rental clients, both administratively and during event execution. The role involves event oversight for daytime and nighttime rentals, assisting in the setup, management, and breakdown of events. Strong communication and judgment skills are essential, as the employee will serve as the main point of contact for nighttime and weekend rental events, ensuring client satisfaction and adherence to city policies. Additionally, this role includes administrative support duties such as processing payments through CivicRec, scheduling tours for prospective clients, and managing marketing materials as needed.
The ideal candidate will demonstrate flexibility and reliability, with the ability to respond promptly to shifting event needs and communicate effectively with staff, volunteers, vendors, and citizens. Physical stamina is required, as work responsibilities include lifting items up to 60 pounds, setting up tables, chairs, tents, signage, and other equipment, sometimes in varying weather conditions. Employees must also be comfortable operating a golf cart and using various office software like Microsoft Word, Excel, Adobe Writer, and email systems. A background check and a high school diploma or equivalent are mandatory for consideration.

Job Requirements
- High school diploma
- Criminal background check is required
- Customer service experience
- Experience working with equipment setup and takedown or event production or hotel/banquet setup experience
- Ability to demonstrate appropriate organizational and interpersonal skills including working with people inside and outside of the City
- Ability to demonstrate good judgment and problem-solving skills in a creative and timely fashion
- Ability to work independently and as a member of a team
- Ability to effectively interact with a variety of staff and volunteers and with the public
- Ability to work long hours as required
- Ability to operate golf cart in a safe manner
- Must be able to lift items up to 60 pounds and perform physical tasks such as pushing, climbing, bending, reaching, and moving about
- Post offer physical is required
Job Qualifications
- High school diploma
- Customer service experience
- Experience with equipment setup and takedown, event production, or hotel/banquet setup

Job Duties
- Provide excellent internal and external customer service
- Make situational decisions based on sound judgment during scheduled shifts
- Confirm that requested supplies and equipment are available for rentals as assigned
- Set up signs, tables and chairs for rentals and other meetings or events on an as needed basis
- Serve as the main point of contact for nighttime and weekend rentals as assigned
- Respond to the shifting needs and priorities of the clients
- Care for the historic structures and rental spaces
- Frequently monitor for newly added events and update availability via spreadsheet
- Respond within 24 hours to text message correspondence from Rental and Community Events Coordinators
- Set-up and tear down equipment including tables, chairs, tents, temporary event fencing, trash cans, signage, and other supplies for community events
- Serve as on-site support staff in the coordination of community events
- Anticipate event operational needs and respond to requests and inquiries of event exhibitors, vendors, contractors, and suppliers as directed or appropriate
- Complete special administrative projects as assigned
- Schedule and conduct tours for prospective clients
- Process rental and community events payments in CivicRec
- Routinely respond to programmatic email as needed
- Order marketing material reprints as needed
