The University Guest House Reservations and Guest Services Coordinator at BYU plays a vital role in supporting the daily operations of a boutique hotel located on campus. This part-time position (28 hours per week) involves managing all reservations and guest communications for a 5-room hotel, ensuring an exceptional and personalized experience for each guest. As the primary point of contact before, during, and after guest stays, the coordinator handles reservation bookings using phone, email, and online platforms, sends confirmations and pre-arrival instructions, and promptly responds to inquiries or changes. The role requires effective coordination with internal staff, including department hosts and food service teams, to ensure seamless service delivery, such as breakfast coordination.
In addition to managing reservations and guest follow-up, the coordinator is responsible for billing preparation and processing, keeping organized financial records, and assisting guests with billing questions or discrepancies. Reporting duties include maintaining occupancy, reservation, and revenue reports on a daily and weekly basis. The role also includes assisting management with documentation and data tracking, managing a small student staff team, and contributing to the overall welcoming atmosphere and service quality of the University Guest House. Job Requirements
- A firm commitment to the mission of BYU
- Minimum of two years of experience in a high-level customer service role within the airline, hotel, hospitality, or recreation management industry
- Proficiency in Microsoft Excel and Word
- Ability to quickly learn additional software programs
- Members of The Church of Jesus Christ of Latter-day Saints must hold and be worthy to hold a current temple recommend
- All staff positions require a resume
Job Qualifications
- A firm commitment to the mission of BYU
- Minimum of two years of experience in a high-level customer service role within the airline, hotel, hospitality, or recreation management industry
- Proficiency in Microsoft Excel and Word, with the ability to quickly learn additional software programs
- Undergraduate degree in hospitality or recreation management preferred
- 2 years of hotel management experience preferred
- 3-5 years of high-level customer service experience preferred
Job Duties
- Book and manage all guest reservations using phone, email, and online booking platforms
- Send reservation confirmations, pre-arrival instructions, and follow-up communications to guests
- Respond promptly and professionally to guest inquiries, changes, and cancellations
- Communicate reservation details, schedules, and guest needs with department hosts and service teams
- Coordinate with hosting or food service staff to ensure breakfast service
- Prepare and process guest billing documentation, including room charges and applicable fees
- Maintain organized financial records related to reservations and guest stays
- Assist guests with billing questions and resolve discrepancies as needed
- Compile and maintain basic daily and weekly reports related to occupancy, reservations, and revenue
- Support management with documentation, summaries, and tracking data as requested
- Assist in managing a 4-person student staff
- Uphold hotel service standards, policies, and procedures
- Contribute to a welcoming, professional, and detail-oriented guest experience
- Perform other related duties as assigned to support hotel operations
- Assist in Christmas decorating each year
