The University Event Planner position is hosted by a prestigious university known for its commitment to excellence in education and community engagement. This role specifically operates within the university's event management division, which is responsible for planning, coordinating, and executing a wide array of events on campus. These events range from academic conferences and public lectures to student activities and special institutional celebrations. As a university-affiliated position, the role is pivotal in managing the entire event lifecycle, beginning with initial client inquiries through to the final event execution. The University Event Planner acts as the primary liaison for all event-related communications, managing client relationships with internal departments and external vendors. This position is responsible for overseeing the event sales cycle, ensuring that the scope, pricing, and policies align with university standards and resource availability.
The Event Planner also carries the responsibility of detailed event documentation, including developing layouts, timelines, and run-of-show guides that inform operational teams and vendors. This documentation is maintained within an Event Management System (EMS), ensuring accessibility and accuracy throughout the event process. With a strong emphasis on compliance, the planner ensures all events adhere to university and venue policies, including safety and brand experience standards.
Additionally, the role may involve acting as a Building Manager during selected events, providing on-site supervision to enforce policy compliance and coordinate between event teams and facilities. This requires a blend of leadership, problem-solving, and operational judgment skills, particularly in high-pressure or rapidly changing scenarios.
Successful candidates must demonstrate exceptional organizational skills, strong communication abilities, and familiarity with event management software. The University Event Planner must also be adept at managing multiple projects simultaneously, balancing client needs with operational capabilities and financial constraints.
This is a full-time position that demands flexibility, as work hours include evenings and weekends according to the Purser Center event calendar. Physical requirements include the ability to lift up to 50 pounds, stand and walk for extended periods, and tolerate loud noise and dynamic lighting environments typical of event settings.

Job Requirements
- Bachelor's degree in business administration, hospitality management, event management, facilities management, or a related field, or an equivalent combination of education and experience
- minimum of 5 years of progressive experience in event operations, venue management, hospitality operations, or facilities leadership
- demonstrated experience managing complex, concurrent events in a multi-use venue or institutional environment
- proven supervisory experience, including staff leadership, scheduling, training, and performance management
- strong operational judgment with the ability to make timely, confident decisions in dynamic environments
- experience coordinating multiple service areas such as AV/production, custodial services, facilities, and security
- proficiency with Microsoft 365 applications (Outlook, Teams, Excel, Word, SharePoint)
- excellent organizational, communication, and problem-solving skills

Job Duties
- Serve as the primary contact for internal and external event inquiries
- conduct intake meetings to understand client goals, scope, timelines, and constraints
- determine event feasibility and alignment with University and venue policies
- manage the event sales pipeline including proposals and space availability
- prepare and manage event contracts, pricing, and terms
- communicate financial expectations and inclusions/exclusions to clients
- coordinate deposits, billing milestones, and approvals with Finance
- ensure all financial details are finalized prior to event confirmation
- develop and maintain complete event documentation including diagrams and run-of-show
- enter and maintain accurate event information within EMS
- ensure event status is updated appropriately
- attach all supporting documentation within EMS
- adhere to established brand experience and Purser Center SOPs during planning and documentation
- ensure consistency in planning standards and EMS practices
- identify workflow gaps or inefficiencies and recommend SOP improvements
- support development and refinement of SOPs related to event planning and handoffs
- conduct timely handoff of confirmed events to operational leadership
- ensure documentation is complete and finalized prior to handoff
- flag operational risks or special requirements
- remain available for clarification without assuming execution responsibility
- serve as Building Manager for assigned events
- provide on-site supervision focused on policy compliance and safety
- act as liaison between event staff, Facilities, and Brand Experience leadership
- document issues or incidents following events
- support post-event reconciliation and final billing review
- gather feedback and lessons learned
- maintain organized records for reporting and improvement
