The role of the Unit Secretary (Health Unit Coordinator) at Desert Regional Medical Center is a critical part of the hospital's nursing unit operations. This full-time position, primarily working day shifts, involves efficiently managing clerical and receptionist duties, supporting nursing staff by maintaining medical records, supplies, and equipment, and ensuring smooth communication within the unit. The Unit Secretary supports the clinical team by handling non-clinical nursing tasks, maintaining patient confidentiality, and interacting professionally with patients, visitors, and hospital personnel. Mastery of the CERNER system for entering orders and managing patient records is essential. - Prior unit secretary training or healthcare experience preferred
- Current American Heart Association BLS certification required and must be maintained
Job Duties
- Understand the Trauma patient policy of having a number instead of a name helping to ensure patient safety
- Obtain and interpret information in terms of the patient's needs
- Demonstrate knowledge of growth and development
- Understand the range of treatment needed as appropriate to the ages of the patients served
- Maintain confidentiality of the patient
- Communicate consistently with Clinical Manager and Bed Control in a pleasant and calm manner
- Perform receptionist duties including answering phones and nurse call system, taking messages, greeting and directing visitors and other hospital personnel
- Assist physicians and hospital personnel with locating patients, charts, and answering questions
- Follow appropriate lines of authority when communicating information and screening calls according to unit guidelines
- Answer incoming telephone calls within four rings and respond or refer calls appropriately
- Assemble patient's record within 30 minutes of transfer
- Maintain current and previous records according to policies and procedures
- Obtain chart copies for transfer to another facility before discharge
- Enter orders correctly into the CERNER System in a timely manner
- Follow CERNER downtime procedures
- Sign, time, and date all transcribed orders
- Notify nurse caring for patient of any STAT orders
- Document allergies on medication administration record, physician order sheet, front of chart and Kardex
- Assist RN in clarifying illegible or confusing orders
- Participate in unit quality improvement activities
- Give end of shift report regarding pending issues to oncoming staff
- Utilize all functions of computer system including transfer, discharge census sheets, and reports
- Keep patient computer screen updated
- Obtain preliminary reports as needed
- Transport needed items to/from lab, pharmacy, or other departments
- Obtain emergency equipment as needed
- Check pre-established unit inventory and order supplies
- Utilize and direct volunteers
- Follow Infection Control Policies including specimen handling and hand washing
- Assist in providing a safe environment by following fire and safety precautions
- Report and document incidents or quality issues affecting patient or staff well-being
- Report broken equipment and tag for repairs
