The Unit Secretary role at Wellstar is a vital position within the nursing unit, serving as the central communication hub to ensure smooth and efficient patient care operations. Under the direction of the Nurse Manager and Assistant Nurse Manager, the Unit Secretary performs essential clerical and receptionist functions, including computer order entry, data retrieval, managing unit supplies, and maintaining patient documentation. This day-shift position demands excellence in customer service, organizational skills, and the ability to support the clinical care team effectively. The Unit Secretary plays a key role in patient-centered care by facilitating patient admissions, transfers, and discharges, handling communication between patients, families, and healthcare professionals, and ensuring adherence to safety and infection control standards.

This position requires familiarity with electronic medical records and the ability to serve as a super user for electronic documentation during downtime. Responsibilities also include managing unit flow during emergency situations, coordinating with housekeeping, performing audits and supply requisitions, and participating in unit performance improvement initiatives. Job Requirements

  • High school diploma or GED
  • Less than 1 year clinical experience preferred
  • Ability to read, write and speak English
  • Strong customer service and interpersonal skills
  • Ability to collaborate with healthcare providers
  • Ability to multi-task and handle emergency situations
  • Detail oriented
  • Basic computer skills
  • Ability to enter data into electronic medical records
  • Basic medical terminology knowledge

Job Qualifications

Job Duties

  • Answer telephone calls and patient call lights and communicate patient needs to healthcare team
  • Facilitate patient admission, transfer and discharge processes
  • Track bed activity and notify housekeeping upon patient discharge
  • Support unit flow during code situations
  • Request patient escort when necessary
  • Perform charge and staffing reconciliation
  • Complete supply requisitions and stock deliveries and place orders for durable medical equipment
  • Participate in interdisciplinary rounds as scribe
  • Transport unit supplies, medications and equipment
  • Maintain patient charts and scan documents into electronic medical records
  • Resolve patient concerns and offer assistance and comfort measures
  • Act as unit expert for electronic documentation and facilitate data recovery
  • Communicate patient care issues to nursing staff
  • Provide excellent customer service maintaining confidentiality and patient dignity
  • Maintain cleanliness and safety of unit environment
  • Operate Xenex machines after patient discharge
  • Comply with infection control and PPE policies
  • Perform environment of care rounds
  • Report malfunctioning IT equipment
