The Unit Secretary position at Wellstar is a vital role within the nursing department, functioning under the direction of the Nurse Manager and Assistant Nurse Manager. This role is essential in facilitating the smooth operation of the nursing unit by handling several clerical and receptionist duties that contribute directly to safe, age-appropriate, and culturally competent patient care. The Unit Secretary is responsible for tasks such as computer order entry, data retrieval, maintaining unit supplies, and preparing and managing patient charts. Their role also includes providing high-quality customer service, acting as the central communication hub for the nursing unit, and ensuring efficient unit flow, particularly during critical situations.

Furthermore, the Unit Secretary plays a key role in protecting patient rights and dignity, maintaining confidentiality, building relationships with patients and their families, and participating in patient care rounds. They are involved in various administrative functions including answering phone calls, communicating patient needs to the healthcare team, facilitating patient admissions and discharges, and tracking bed availability. The Unit Secretary supports the healthcare team by participating in interdisciplinary rounds, performing audits, managing supplies and equipment orders, and helping with performance improvement initiatives.

Communication is at the core of the Unit Secretary’s responsibilities. They must utilize effective oral and written communication skills to interact with patients, healthcare staff, physicians, and visitors. They are also the liaison between patients and diagnostic areas, updating necessary parties about test times and procedures. Technological competence is important as they maintain electronic medical records, act as super users for electronic documentation, and ensure proper functioning of IT equipment.

The Unit Secretary is also integral to maintaining a safe and clean environment on the unit, ensuring infection control policies are followed, operating specialized cleaning machines, and conducting environment rounds. Job Duties

  • Provide excellence in customer service by partnering with healthcare team, patient, and family
  • Protect rights and dignity of patient at all times
  • Maintain paper medical records and scan documents into electronic medical records
  • Assist in patient admissions, transfers, and discharges
  • Track bed activity and notify housekeeping of patient discharge
  • Participate in interdisciplinary rounds as scribe and support unit flow management
  • Transport unit supplies, patient care supplies, medications, and equipment
  • Use effective communication skills with patients, staff, physicians, families, and visitors
  • Monitor and enter data for patient safety information
  • Perform charge and staffing reconciliations
  • Place orders for durable medical equipment
  • Comply with infection control policies and maintain unit cleanliness
  • Act as liaison between patients and diagnostic areas
  • Maintain and report on computer and IT equipment status
  • Participate in unit performance improvement initiatives
