Job Description

We are a dynamic organization seeking a skilled In-House Travel Manager to join our team and efficiently oversee all aspects of travel coordination for our executives and employees. Our company is committed to providing seamless and effective travel experiences, whether domestic or international, by managing every detail from flights and accommodations to ground transportation and itinerary optimization.

As an In-House Travel Manager, you will play a crucial role in facilitating smooth travel operations within a corporate environment. The position requires managing complex travel arrangements that include coordinating visa processes, negotiating travel rates, and handling private aviation requests when necessary. You will be responsible for maintaining constant communication with travelers, monitoring their journeys in real time to respond proactively to any delays or disruptions, and ensuring compliance with company travel policies, especially concerning travel expenses. Your expertise will also be essential in supporting executive leadership with limited administrative tasks and collaborating cross-functionally to align travel needs with broader organizational initiatives. This role demands an individual with strong organizational, problem-solving, and negotiation skills who can operate with a high degree of professionalism and discretion, often providing after-hours support to maintain uninterrupted travel experiences for our leadership and staff.

Job Requirements

  • minimum of 3 years of experience in travel coordination or corporate travel management
  • proven track record of managing complex executive travel itineraries
  • knowledge of international travel logistics including visa requirements
  • excellent organizational and communication skills
  • ability to handle high-pressure situations and provide after-hours support
  • proficiency in travel management software and tools
  • high level of discretion and professionalism

Job Qualifications

  • 3-7+ years of experience in travel coordination or corporate travel management
  • proven experience managing complex high-frequency executive travel
  • strong knowledge of international travel logistics and time zone coordination
  • established network of travel vendors preferred
  • exceptional attention to detail organization and problem-solving skills
  • ability to operate with urgency and provide support outside standard business hours
  • strong communication skills and high level of professionalism and discretion

Job Duties

  • manage high-volume complex travel bookings including flights accommodations ground transportation and itineraries
  • coordinate domestic and international travel logistics including visas and scheduling optimization
  • monitor travel in real time and proactively adjust plans to address delays or disruptions including after-hours support as needed
  • maintain clear communication with travelers to ensure a seamless experience
  • track and manage travel expenses in compliance with company policies
  • maintain accurate records documentation and travel preferences
  • build and manage relationships with airlines hotels and travel vendors including private aviation when required
  • negotiate rates and service agreements where applicable
  • support executive administrative needs and cross-functional initiatives as needed
