The travel coordinator role at Veeva Systems is a dynamic position that plays a crucial part in supporting pharmaceutical educational events by managing all aspects of travel booking, itinerary coordination, and compliance. This position requires an individual who excels at managing high-volume, deadline-driven activities while maintaining clear and consistent communication with both internal teams and external stakeholders such as healthcare professionals (HCPs). The travel coordinator will be responsible for arranging flights, hotels, ground transportation, and other logistics, ensuring each component complies with Veeva’s travel policies, budget constraints, and industry regulations. This person will also assist in budget management, support program planning efforts, and maintain accurate event documentation for seamless execution.
The ideal candidate for this role will possess strong analytical and problem-solving skills as well as professional communication abilities that enable effective handling of frequent phone and email interactions. Managing a high volume of travel requests and event logistics requires multitasking in a fast-paced environment, where priorities can change rapidly. Additionally, the role demands proficiency in Microsoft Office applications like Word and Excel, including financial calculations and functions such as pivot tables and VLOOKUPs. Familiarity with Gmail and database management tools will also help ensure success in this role.
This position requires the ability to work in-office three days a week (Tuesday through Thursday) and participate in rotational after-hours phone coverage, demonstrating a commitment to team collaboration and responsiveness. Compensation for the travel coordinator role ranges from $22 to $28 per hour, subject to experience and location, with additional potential for variable bonuses or stock awards. - 1-2 years experience in field or related area such as travel agency sales hospitality pharmaceutical medical industry and customer service
- Pharmaceutical speaker bureau experience is a plus
- Pharmaceutical event planning experience is a plus

Job Duties
- Booking travel - arrange and book travel for HCPs including flights hotels ground transportation etc
- Itinerary management - creating detailed accurate travel itineraries and communicating them to the HCPs
- Compliance - ensuring all travel arrangements adhere to the companys travel policies budget constraints and industry regulations such as visa passport requirements health advisories
- Database management - manage promotional educational programs within the proprietary system
- Budget management - assisting customer representatives with their program planning budget to ensure they meet customer business rules and guidelines
- Frequent daily communication with sales representatives and faculty as needed
- Ensuring all event materials are complete and accurate
- Work closely with other team members to ensure successful execution of events and travel
- Adherence to various policies i.e. confidentiality sensitive communication intellectual property
- Effectively manage a high volume of events while also responding to emails and phone calls
- Manage and monitor a high volume of emails daily
- Cover after hours phone line 5pm-midnight on a rotated basis weeks selected by coordinator
- Must be able to work in-office Tuesday Wednesday Thursday
