The role of Transactions Coordinator - Commercial Real Estate, also referred to internally as Client Services Coordinator, is pivotal within Colliers' Broker Team. The position demands a highly motivated individual who excels at supporting both brokers and clients. As a Client Services Coordinator, you will be central to managing communications and processes involved in real estate transactions from start to finish. Your responsibilities will span administrative assistance, business development support, and creation of impactful presentations and pitch decks designed to engage clients and support broker efforts. This role suits professionals with strengths in project management, marketing coordination, proposal creation, and superior writing and presentation skills. You will handle diverse client-facing challenges and transaction administration, ensuring accuracy, timeliness, and exceptional support throughout the transaction lifecycle.

In this position, you will be expected to expertly manage multiple projects, track critical deadlines, and maintain detailed records of transaction data. You will be responsible for managing listing agreements, renewals, and coordinating transaction logistics such as meetings and invoice preparation. Job Requirements

  • Bachelor’s degree preferably in business, real estate, or related field
  • 1-2+ years of administrative support experience
  • Proficiency in MS Office including Word, Excel, PowerPoint, and Teams
  • Comfortable with cloud-based systems
  • Excellent written and verbal communication skills
  • Strong organizational and prioritization skills
  • Ability to multitask in a fast-paced environment
  • Adaptable and proactive with a positive attitude
  • Detail-oriented and patient
  • Willingness to learn and openness to feedback

Job Qualifications

  • 1-2+ years of administrative support experience

Job Duties

  • Manage and prioritize multiple projects for the team, tracking deadlines, action items, and deliverables to ensure timely completion
  • Maintain and update broker transaction data across websites and client portals to ensure accurate and accessible information
  • Manage listing databases, including drafting listing agreements and renewal extensions
  • Provide administrative support, including coordinating meetings, booking conference rooms, and supporting transaction logistics
  • Participate in management and coordination of transaction and due diligence processes, entering deal sheets and submitting completed trade record and supporting paperwork, preparing invoices and tracking payments
