Job Description

The Spring is a distinguished faith-based service provider, shelter, and advocacy organization dedicated to supporting survivors of domestic violence, sexual assault, stalking, and human trafficking. The role of the Training Coordinator at The Spring represents a highly integral position within the organization. This individual acts as the centralized coordinator for all training-related activities across the organization, ensuring that every staff member has access to high-quality, timely, and relevant learning opportunities to enhance their skills and better serve survivors. The Training Coordinator manages both internal trainings, which cover crucial areas like policies, trauma-informed care, and professional standards, and external trainings, including coordinating with outside trainers and partners. This includes a wide array of responsibilities such as coordinating schedules, managing training logistics like room reservations and catering, preparing training materials, and maintaining detailed records of attendance and compliance.

Beyond simply organizing trainings, the Coordinator plays an instrumental role in supporting the content development and standardization of training processes. They work closely with leadership and supervisors to conduct training needs assessments, identifying gaps and areas for growth within the staff’s knowledge and capabilities. By doing so, the Coordinator actively contributes to the continuous improvement and relevance of the organization's training offerings. The role also involves managing compliance with regulatory requirements, specifically ensuring that training meets the Oklahoma Attorney General’s certification standards, which is vital for the organization's accreditation and funding.

The ideal candidate for this full-time position will bring at least two years of relevant experience in training coordination or administrative support and possess a strong blend of organizational, interpersonal, and problem-solving skills. Proficiency in modern office software such as Microsoft Office 365 is essential to effectively manage schedules, communications, and documentation. Job Duties

  • Serve as the primary point of contact for all internal and external training requests, questions, and needs
  • Draft external training agreements according to current pricing standards
  • Coordinate, schedule, and organize all trainings, including room reservations, catering, virtual meeting setup, trainer communication, and participant notifications
  • Prepare and distribute training materials, attendance sheets, sign in forms, evaluations, and certificates as needed
  • Maintain an up to date training calendar and training lists and ensure staff are aware of opportunities and requirements
  • Assist in developing, updating, formatting, and organizing internal training materials, presentations, handouts, and resource documents
  • Support the creation and refinement of internal trainings related to policies, procedures, trauma informed care, client services, safety, compliance, and professional standards
  • Ensure training materials, offerings and pricing sheet is up to date
  • Help standardize training processes, templates, and documentation across the organization
  • Facilitate basic trainings such as Lunch n Learns, The Spring 101
  • Collaborate with leadership, supervisors, and departments to identify training gaps, emerging needs, and gather feedback from employees and management to refine and enhance training programs
  • Provide recommendations for training improvements, new topics, and enhanced delivery methods
  • Track and monitor staff training completion and compliance status for maintaining The Spring's certification through the Oklahoma Attorney General's office
  • Collaborate with the Compliance Coordinator to ensure all training is in line with OAG standards
  • Maintain accurate training records in the organization's learning management system or tracking tools
  • Provide follow up communication, resources, and evaluation summaries after trainings
  • Generate reports on training participation, compliance, and trends for leadership review
