Our client is a reputed organization located in Foster City, CA, offering an 18-month contract opportunity for a Training & Events Coordinator. The company operates at the forefront of Commercial Learning + Development within the biotech and pharmaceutical sector, known for its commitment to excellence and innovation in training solutions. This role is 100% onsite, emphasizing hands-on management of training events that support the organization's commercial training initiatives such as New Hire Training and Leadership Training programs. The role of Training & Events Coordinator is central to the successful delivery of US Commercial training events. This position requires a highly motivated individual with expertise in event planning and project management, specifically within the field of commercial learning and development. Responsibilities include leading and managing all phases of training event planning from concept to execution, ensuring alignment with business needs, and delivering seamless logistical support. Collaboration with cross-functional partners is critical to ensure flawless execution, timely delivery of projects, and an exceptional stakeholder experience. This role encompasses vendor management, contract negotiation, venue sourcing, and the management of food and beverage arrangements, all tailored to meet event objectives and stakeholder expectations.
Candidates must be adept at using project management tools and processes, with skills in process mapping, root cause analysis, and strategic thinking. The role demands strong communication skills to update senior management regularly and the ability to influence decision-making without formal authority. It also involves mentoring colleagues on event planning and project management best practices, bringing insights on process improvements, and driving efficiencies. This position demands a proactive approach to identifying and addressing gaps in standard operating procedures and the flexibility to work independently or as part of a team in a fast-paced environment.

Job Requirements
- Bachelor's degree or higher in relevant field
- 7+ years of experience with BS/BA, 5+ years with MS/MA or MBA
- proven experience in event planning and project management
- excellent communication and negotiation skills
- ability to manage multiple competing priorities
- strong analytical and strategic thinking abilities

Job Qualifications
- 7+ years of experience with a BS/BA degree
- 5+ years of experience with MS/MA or MBA degree
- degree in Event Management, Hospitality & Tourism Management or equivalent preferred
- significant meeting and event management experience
- Certified Meeting Professional (CMP) preferred
- strong communication and influencing skills
- proficient in Microsoft Office suite

Job Duties
- Lead projects to successful delivery while providing an exceptional stakeholder experience
- engage stakeholders to align project priorities, coordinate interdependencies, and navigate risks
- deliver executive level updates to senior management
- lead process assessments leveraging tools like process mapping and root cause analysis
- manage and execute training events and ad hoc meeting requests
- partner with stakeholders on training event planning to ensure business needs are met
- execute RFPs, venue sourcing, and site selection
- negotiate contracts for hotels, venues, and vendors
- manage food and beverage logistics
- source and oversee vendors for production and AV elements
- develop and manage project timelines and action plans
- interface with internal training teams and vendors
- produce pre-event communications and post-event analysis
- manage registration tasks including invite lists and attendee management
- conduct planning meetings with cross-functional teams
- ensure vendor deliverables and timelines are met
- evaluate and establish SOP procedures to improve efficiencies
- mentor colleagues on event planning and project management
- oversee strategic projects impacting broader teams and organization
