This hiring opportunity is for a Training and Event Coordinator position based in the Greater Hartford area, specifically between Farmington and East Hartford, Connecticut. The role is integral to supporting Raytheon's Virtual and In-Person Learning and Event Centers within the region. This position involves coordinating and managing the logistical aspects of both virtual and onsite learning and meeting events that VPS supports. The coordinator will handle responsibilities such as managing Learning Management System (LMS) configurations, preparing group communications, and responding to general requests related to training programs. Additionally, the role requires preparing and reviewing training reports and billing statements as necessary, as well as troubleshooting access or learning plan issues and following up with students when needed. The Training and Event Coordinator will also oversee the arrangements for catering, class materials, shipping, and booking classrooms, including facilities outside of the primary Learning Center. Maintaining and updating SharePoint folders with program details, rosters, and billing files is an essential part of this duty. Another key responsibility will be supporting virtual class delivery, primarily using Zoom, where the coordinator will manage attendance, share presentations, assist with technical issues, and facilitate interactive tools like polls and breakout rooms. Recording classes and adhering to security and data policies is also required. Onsite support is a significant part of the position, making up 50 percent of the duties. This includes setting up and resetting classrooms to client specifications within the Learning Center or other locations, assisting with new employee orientations, supporting presenters with audio/visual connections, and ensuring rooms are adequately stocked. The coordinator will manage visitor and non-employee requests and provide excellent customer service to all Learning Center guests through multiple communication channels. The role requires at least two years of relevant experience in event logistics and program delivery, preferably in a similar capacity. It demands proficiency with Learning Management Systems, Microsoft Office applications, and SharePoint or similar collaboration tools. Exceptional written and verbal communication skills are essential, with an emphasis on clear, concise, and grammatically correct business communication. The ideal candidate will be self-motivated, accountable, and possess excellent time management and project coordination abilities. A bachelor's degree is preferred for this position. Physically, the job involves typical office environment activities and may require lifting materials weighing up to 25 pounds during event setup and breakdown. Work will be executed using standard office equipment such as laptops and proprietary software tools relevant to LMS, SharePoint, and other systems. Job Duties

  • Configure course offerings in the LMS
  • Configure and prepare group Outlook account email notifications and calendar invites
  • Respond to general requests
  • Prepare and review training reports
  • Troubleshoot access and learning plan issues and follow-up with students
  • Prepare billing reports as needed
  • Coordinate logistics for onsite and virtual events including ordering catering, preparing class materials, shipping materials, and booking classrooms
  • Update SharePoint folders with program details, rosters, and billing files
  • Support virtual class delivery on Zoom including sharing presentations, managing attendance, resolving technical issues, supporting in-class interactions, recording classes, and ensuring compliance with security policies
  • Set up and reset Learning Center classrooms
  • Support new employee orientation
  • Assist presenters with audio and visual troubleshooting
  • Maintain and stock rooms with supplies
  • Manage visitor and non-employee visitor requests
  • Provide customer service to visitors, students, and instructors by phone, email, and in-person
