The role of Trade Show and Events Coordinator at Acumed LLC is an integral position that focuses on the planning, management, and execution of both major and regional trade shows for designated regions and business units. This role requires close collaboration with BU Marketing Directors, Product Managers, and the Marketing Communications team to ensure an exceptional and cohesive customer experience. The coordinator takes charge of developing and overseeing detailed event project plans, budgets, agendas, and timelines that align with company goals and branding standards.
Key responsibilities include vendor management, on-site coordination, booth layout optimization, and logistical arrangements such as ordering materials, arranging catering, and organizing accommodations and transportation. The coordinator is also tasked with maintaining strong relationships with trade show associations to bolster Acumed's industry presence and to audit and manage event-related financials for accuracy and budget compliance. Additionally, the role supports cadaveric labs and other event-related activities as needed.

The ideal candidate will have a bachelor's degree and a minimum of three years of relevant trade show and event planning experience. Having a Certified Meeting Professional (CMP) designation is preferred. Job Duties
- Plans, manages, and executes major and regional trade shows
- develops, manages, and oversees event project plan, budget, agenda, and timeline
- drives vendor and internal team deliverables to meet timeline and budget requirements
- provides on-site management for major trade shows, including set-up and tear-down
- works cross-functionally to optimize booth layout and product displays for all trade shows
- responsible for materials ordering, arranging facilities, catering, hotels, transportation, off-site events, and other arrangements
- maintains strong relationships with major trade show associations to support and enhance Acumed's industry presence
- serves as a liaison with vendors for assigned projects to ensure quality, customer satisfaction, and adherence to Acumed branding standards
- audits trade shows and event expenditures monthly to ensure correct allocation of expenses
- reviews event invoices for accuracy and submits purchase orders for payment
- solicits feedback on the effectiveness of displays, lead retrieval, booth staff, etc., creates action plans and recommends improvements to increase vendor quality, decrease costs, and increase program quality
- assists with cadaveric labs
- conducts work in accordance with Acumed compliance policies
- documents surgeon expenses and reports monthly
- processes event-related payments
- supports other events as assigned
