The Tournament & Event Manager at Bear Creek Golf Club plays a crucial role in ensuring the smooth operation of private events across the club’s facilities. This role is designed for a dynamic, highly organized, and customer-oriented professional adept at managing multiple events simultaneously while providing an exceptional guest experience. The Tournament & Event Manager serves as the primary liaison between clients and the club, overseeing all aspects from initial inquiry through event completion. This includes weddings, corporate outings, banquets, social gatherings, club tournaments, and other special events.
This position is vital in maximizing event revenue by optimizing bookings and ensuring client satisfaction. Responsibilities involve coordinating with various club departments such as food and beverage, golf operations, and maintenance to guarantee seamless event execution. The manager also handles event proposals, contracts, banquet event orders (BEOs), timelines, billing, and invoicing. A key part of the role includes conducting site tours and consultations, maintaining strong client and vendor relationships, assisting with marketing initiatives and promotional events, and ensuring compliance with club policies and safety standards.
The ideal candidate will possess significant experience in event planning, hospitality, or club management, with excellent communication and organizational skills. Proficiency in Microsoft Office and event management software is preferred. Flexibility is essential, as the role often requires working evenings, weekends, and holidays depending on the event schedule. Physical stamina is also important since the job involves standing, walking for extended periods during events, and lifting up to 25 pounds.

Job Requirements

Job Duties
- Coordinate all aspects of private events including weddings, corporate outings, banquets, social gatherings, tournaments, and special club events
- Serve as the primary liaison between clients and club departments to ensure seamless event execution
- Conduct site tours and consultations with prospective clients
- Prepare event proposals, contracts, banquet event orders (BEOs), and event timelines
- Communicate event details and requirements to food and beverage, golf operations, maintenance, and other departments as needed
- Oversee event setup, execution, and breakdown to ensure client expectations are met or exceeded
- Manage event billing, deposits, and final invoicing
- Develop and maintain strong relationships with clients, vendors, and community partners
- Identify opportunities to increase event bookings and revenue
- Maintain accurate records of event inquiries, bookings, and client communications
- Assist with marketing initiatives, promotional events, and club outreach efforts
- Ensure compliance with club policies, safety standards, and service expectations
