The role of Tour Coordinator Assistant is an excellent entry-level position designed for individuals who are organized, detail-oriented, and eager to join a fast-paced, team-oriented environment. This role supports the Tour Coordination department by managing a variety of administrative and logistical tasks necessary for the smooth execution of student tours. You will be responsible for assisting with daily logistical operations, communication with clients, and ensuring the accuracy and completion of travel documents and itineraries. As a Tour Coordinator Assistant, your day-to-day activities will involve supporting Tour Coordinators with diverse administrative duties, managing phone inquiries about travel logistics, formatting and distributing travel itineraries and other reference materials, proofreading important documents for accuracy, and handling outgoing mail and client communications. Additionally, you will take part in the travel coordination process by booking attractions, confirming reservations, verifying contracts, payments, and vendor documents, purchasing event tickets online, and preparing final travel packets for clients. Occasionally, you may also assist with on-site support during student tours or events, contributing to the overall success and seamless execution of travel programs.

Job Duties
- Assist Tour Coordinators with various admin tasks
- Answer phone calls and respond to inquiries about travel itineraries and logistics
- Format and distribute flyers, itineraries, spreadsheets, and confirmations
- Proofread appointments and confirmations for accuracy and alignment with itineraries
- Handle outgoing mail and client documents
- Book attractions and confirm reservations
- Verify contracts, payments, and vendor documents
- Purchase tickets and event passes online
- Help prepare final travel packets for clients
- Occasionally assist with on-site support for student tours or events
